Client Holiday Gifts 2026: The Small-Business Playbook (Who, How Much, What, When, How to Ship)

Updated

In short

A good client holiday gift is one thing they will use, one treat and a personal card, shipped to each client's own address. Surveys put the median gift at $24 (ASI, 2017) and $30 (business.com, 2022). Aim for early-December arrival (USPS's Christmas send-by date for Ground Advantage is Dec 17).

On this page12 sections

We sell a $35 logo mug gift box, printed, packed and shipped to each person's address. This guide covers the other options too.

Client gifts are what catalogs and AI assistants often call corporate gifts, or corporate holiday gifts for clients.

Key facts

  • $24 median client-gift spend in 2017 (ASI, a promotional-products trade-group survey).
  • $30 median per client gift in 2022 (business.com, a publisher's online poll of 1,547 professionals).
  • 46% of gift recipients in that poll said year-end vendor gifts made them "more likely to continue working together"; 54% had thrown away at least one gift without using it (business.com, 2022).
  • $25 per person per tax year is the most a business can deduct for business gifts (IRS Publication 463).
  • Dec 17, 2026 is USPS's recommended Ground Advantage send-by date for Christmas delivery in the lower 48 (USPS).

Who Gets a Client Gift? How Tiers Work, and What Including Everyone Costs

Many firms tier their client list. A commenter in r/Accounting: "We send all clients a holiday card and about 10% get a treat as well" (r/Accounting). One owner tiers by revenue: "My cut point is $25K a year. If you spend at least 25K I get the client a gift. My second tier gifts are over 50K a year" (r/smallbusiness).

Giving everyone in a tier the same gift is fine. Givers shopping for several people tend to pick a different gift for each and pass up the one recipients would like most (Steffel & Le Boeuf, 2014). Personalize the card, not the object.

TierWhoWhat a common pattern givesSuggested spend (our suggestion)
A: top accountsYour top tenth or so by revenue, referrals or years togetherA gift plus a personal card$25–$100
B: steady clientsRepeat clients you want to keepA small treat plus a card, or a card aloneUp to $25
C: everyone elseOne-time clients, small accounts, prospectsA holiday card or a short emailUnder $5 for a card, or the tier-B gift if you include them

Including everyone costs less than it sounds when there's no minimum: the same $35 box, delivered, to 40 clients is $1,400. Before you add anyone in government or a regulated trade, check the rules below. Full method: which clients get a gift.

How Much to Spend on Client Gifts: Survey Medians of $24 (2017) and $30 (2022)

All three surveys come from organizations with an interest in gifting, none is a controlled study, and we found no neutral 2025–2026 survey of small-business client-gift spending.

SurveyWho ran itWhenWhat it found
ASI corporate gift surveyAdvertising Specialty Institute, the promotional-products trade group201732% of companies planned customer holiday gifts; median $24
business.com Corporate Gift Studybusiness.com, a publisher; online poll of 1,547 professionalsOct 2022Median $30 per gift; clients expect gifts "valued at $100"
ASI Corporate Gift Spending SurveyASI, 552 companiesNov 201837% planned client gifts; average $48 per client or prospect

The two medians are $24 (2017) and $30 (2022), and recipients say they expect more than senders spend. That gap matters less than it looks: givers expect pricier gifts to be appreciated more, but recipients' appreciation is not linked to price (Flynn & Adams, 2009). Or, from a sales rep: "A $40 personal gift will go a lot further than a $500 'impressive' gift 100% of the time" (r/sales). Budget detail and a calculator: how much to spend on client gifts.

The IRS $25 line

"You can deduct no more than $25 for business gifts you give directly or indirectly to each person during your tax year."

(IRS Publication 463, the edition "for use in preparing 2025 returns", read Oct 25, 2026)

The same publication says "Incidental costs, such as engraving on jewelry, or packaging, insuring, and mailing, are generally not included in determining the cost of a gift for purposes of the $25 limit", but also that "A cost is incidental only if it doesn't add substantial value to the gift." And: "the purchase of an ornamental basket for packaging fruit isn't an incidental cost if the value of the basket is substantial compared to the value of the fruit."

This is information, not legal or tax advice. Check the current rule (or ask your tax professional) before you send. Full explainer: are client gifts tax deductible?

What to Send Clients: Something to Use, Something to Eat, and a Card

Useful beats impressive: givers weight how desirable a gift is, receivers how practical (Baskin et al., 2014), and recipients care about value over time more than the moment of opening (Galak, Givi & Williams, 2016).

Clients agree. In business.com's 2022 poll, online gift cards ranked first among wanted gifts and food or candy second, while "Coffee mugs, pens, keychains, magnets, t-shirts, etc., are quickly forgotten and usually thrown on the pile or in the bin." Its advice: "Send a gift, not an ad." A promotional-products survey found the opposite for drinkware: in ASI's 2026 Ad Impressions Study, 87% of end-users said they would keep a branded drinkware item because of its usefulness (ASI).

Gift type Why it works What to watch
Food or treat box Food or candy ranks second among wanted client gifts (business.com) Allergies and diets; eaten in a day, so nothing with your name stays behind
Branded drinkware or desk item 87% say they'd keep branded drinkware because it's useful (ASI, 2026, a promotional-products trade-group study) A big logo reads as an ad; an empty logo mug is swag
Gift card Ranked first among wanted gifts (business.com) No object stays behind; it can feel like a rebate
Treat plus keepsake plus card Covers the opening and the months after Costs more to ship; needs packing that survives the mail
Donation in the client's name Fits clients who care about the cause Pick a cause they would choose, not yours
Alcohol Traditional in some trades "I don't drink … liquor as a gift is a waste" (r/marketing)

Three rules cover most of the risk:

  • Keep the logo small. In a survey by PPAI, the promotional-products trade association, 44% preferred subtle branding over big, bold logos (PPAI Magazine, Oct 2025). Both sides of the evidence: is a branded mug a good client gift, or cheap swag?
  • List what's in the food. For example, LINDOR truffles contain milk, soy and barley malt (gluten); read the labels. See the allergy and diet checklist.
  • Write the card yourself. Name one specific thing from the year and don't sell. Templates: thank-you messages for clients.

The treat, the keepsake and the card in one box is what Personalized Gifts Delivered makes: a logo mug gift box with Ghirardelli cocoa, Lindt truffles and a personal card. An 11 oz white ceramic mug with your logo printed small, a 1.5 oz packet of Ghirardelli premium hot cocoa, 4 Lindt LINDOR milk chocolate truffles and your printed message in a sealed envelope, in a matte-black gift box with a magnetic lid, $35 delivered.

When Should Client Holiday Gifts Arrive?

No study compares arrival dates for client gifts, so this is reasoning, not data. A gift that lands in the first two weeks of December reaches people before holiday travel and before offices empty. A Thanksgiving gift arrives before the December pile; a New Year gift arrives after it. One owner on December: "it's the worst time to gift since everyone else is" (r/smallbusiness).

Planning to use a big gifting platform for custom-logo items? Check its cutoff now. As of Oct 29, 2026, their own holiday pages listed these dates (none gives a year beside its dates):

  • Sendoso: branded items Oct 1 (passed); marketplace custom-product requests Nov 15, on a page headed "2025 and Beyond" (Sendoso).
  • Goody: custom merch "no later than October 18" (passed) (Goody).
  • Snappy: "For custom swag, place Bulk and Kit orders by October 30 and On Demand Plus orders by November 3." For physical gifts to arrive before the holidays, it says to send digital gift notes by Dec 11 for US recipients (Snappy).
  • SwagUp: "Order your Holiday Swag by Oct 31st" (SwagUp).

Personalized Gifts Delivered's Christmas order-by date is Tuesday, December 15; that date covers printing your logo, packing and shipping. Every date in one place: 2026 holiday order-by dates. Running late: last-minute client gifts before Christmas.

How to Ship Client Gifts to 40 Different Addresses

Someone organizing gifts for 40 clients asked r/smallbusiness how not to mess up the logistics (thread). Our answer is five steps: one list, the right addresses, discretion, a way to ship and a log.

  1. Build one list. One row per client with name and address. Start from the client address spreadsheet template.
  2. Ask for the address. "We'd like to send you something small this December; what's the best address?" Offer the office as an alternative. More scripts: how to ask clients for their home address.
  3. Think about discretion. For law, finance, therapy and medical clients, a logo on the outside of a box at their home can reveal the relationship. Use a plain outer carton. With Personalized Gifts Delivered, the label's return address shows PersonalizedGiftsDelivered.com, not you; your name appears only on the card inside.
  4. Choose how it ships. Pack and post each gift yourself; use a gift-link platform where each recipient types in their own address (an extra "claim" step for the client); or use a vendor that takes your spreadsheet and ships each gift separately.
  5. Keep a log. Who got what, when, what it cost, and the tracking number: next year's list, and a record for your files.

Can You Pack and Ship Client Gift Boxes Yourself?

Yes: you can build and ship client gift boxes yourself, and by our estimate 25 logo mug gift boxes take about 9 hours of hands-on work, plus a week or more waiting for supplies to arrive.

Step Our estimate, 25 boxes
Find a mug printer, compare minimums, upload the logo, approve a proof About 1 hour
Order the boxes, tissue, seals, cards, foam, cartons, crinkle, cocoa and truffles (about 8 orders) About 1 hour
Clean up the address list and buy 25 shipping labels About 1½ hours
Write or print 25 cards About 45 minutes
Pack 25 boxes, about 8 minutes each About 3½ hours
Drop off the cartons, then follow 25 tracking numbers About 1 hour

Per box, it comes out about even: our DIY cost comparison comes to about $38 a box with USPS counter postage or about $34 with commercial postage, against our $35, with $1,192.84 paid up front for the mugs, the retail supply packs and 25 postage labels, with leftovers (prices as of Oct 26, 2026). Then add the 9 hours above, and one small mistake costs more: a mug packed without a collar can break at the handle and must be bought, packed and shipped again; a stale address sends a box away and back; a typo on 25 printed cards means printing 25 again.

With Personalized Gifts Delivered, it's one order. Add your logo (or type your website and we'll find it), or a photo or a few words for a personal gift; check the preview of your mug and card; add your address list; and pay $35 per box. We print, pack and ship each box to its own address. We ship from New York. Ships within 2 business days of a complete order (your design, your address list and payment). Ships by USPS Ground Advantage or UPS Ground, with tracking, and usually arrives 2–5 business days after it ships. Delivery dates are carrier estimates, not guarantees, and run slower in mid-December. Walkthrough: how to send a gift to every client at their own address.

The 30-Day Client Gift Plan

Count back 30 days from your order-by date. With Personalized Gifts Delivered, that's our Christmas order-by date, Tuesday, December 15.

Days Do this
1–7 Pull your client list. Sort it into tiers A, B and C. Flag anyone in government or a regulated trade.
8–14 Set the budget: every client getting a gift × price per gift. Check flagged recipients against the rules below. Email clients for a shipping address, with a reply-by date.
15–21 Put every address into one spreadsheet and fix the gaps. Write the card: one message that greets each client by first name (top clients who get a more personal line go in their own order). Find your logo file.
22–30 Order before the cutoff. Check the mug preview. Save tracking numbers. Log cost, date and description per recipient.
After Note who replied, referred someone or renewed. Next year's tiers start here.

Can Your Client Accept It? Check These Rules First

Federal employees, many employers and some regulated trades limit gifts by value. The rules below are quoted from their sources.

Federal employees.

"An employee may accept unsolicited gifts having an aggregate market value of $20 or less per source per occasion, provided that the aggregate market value of individual gifts received from any one person … does not exceed $50 in a calendar year."

(5 CFR 2635.204(a), read Oct 25, 2026)

State and local government rules differ.

Company gift policies. In a 2013 SAI Global compliance survey reported by Ogletree (2014), 35% of companies required corporate gifts to be "modest", defined as under $25; 54% set no strict limit. It's old, but the most recent we found. The Emily Post Institute: "Be sure to follow your own company rules AND check with the HR department at the intended recipient's company first" (Emily Post).

Regulated trades.

  • Insurance: states set their own caps on what an agent may give a client. New York's: "any valuable consideration, including but not limited to merchandise or periodical subscriptions, not exceeding twenty-five dollars in value" (NY Ins. Law §2324(a), read Oct 25, 2026). Other states: insurance agent client gifts.
  • Mortgage, title, inspections, real estate referrals: "There is no exception to RESPA Section 8 solely based on the value of the gift or promotion" (CFPB RESPA FAQs, answers updated Oct 7, 2020). See loan officer closing gifts.
  • Broker-dealers: FINRA Rule 3220 bars gifts "in excess of $300 per individual per year" to people at another firm in relation to their employer's business, and "does not apply to… gifts from a member or an associated person to individual retail customers" (Rule 3220). The limit was $100 until March 29, 2026 (Regulatory Notice 26-05).
  • Law and CPA firms: professional-conduct rules apply; see law firm client gifts and CPA client gifts.

This is information, not legal or tax advice. Check the current rule (or ask your compliance officer or counsel) before you send. More: client gift limits by industry.

What to know before you order

  • Gift limits. Each box is $35, delivered. Some employers and industries cap the gifts their people may accept; the limits, quoted from their sources: client gift limits by industry.
  • Referral partners in regulated trades. If you're a loan officer, title agent or home inspector, our box is for your own clients, not the agents who refer them.
  • Where we ship: the lower 48 states and Washington, DC, except Texas for now (no Alaska, Hawaii, Puerto Rico, other US territories, APO/FPO or international). P.O. boxes are fine. The order page flags those rows so you can fix them or take them out before you pay; everything else on your list stays as it is.
  • What's in the treats: LINDOR truffles contain milk, soy and barley malt (gluten); read the labels. Every box holds the same treats; the allergy checklist above covers what to ask.
  • One card message per order: every card greets its client by first name. A top client who gets different words goes in an order of their own; one box is a complete order.
  • Missed Tuesday, December 15? A New Year gift arrives after the rush: order by Monday, December 21.

Frequently asked questions

What is a good gift to give to a client?
Give a client one useful thing, one thing to eat or drink and a short personal card: recipients value practical gifts more than givers expect (Baskin et al., 2014). Food or candy ranks second among the gifts clients want in business.com's 2022 survey. Keep any logo small.
How much should a small business spend per client on holiday gifts?
The median client gift was $24 in ASI's 2017 survey and $30 in business.com's 2022 poll, and neither is a controlled study. A common pattern spends more on a small top tier: research finds recipients' appreciation is not linked to the price (Flynn & Adams, 2009).
Are client gifts tax deductible?
IRS Publication 463 says: "You can deduct no more than $25 for business gifts you give directly or indirectly to each person during your tax year." Whether packaging or shipping counts toward the $25 depends on the facts. This is information, not tax advice: ask your tax professional.
Can my client accept a gift?
Some clients can't accept gifts above a set value: federal employees may accept unsolicited gifts worth "$20 or less per source per occasion" (5 CFR 2635.204), and insurance, mortgage and finance have their own rules. Many companies also cap what staff may accept. Each rule is quoted, with its source, on our gift rules pages.
When should client holiday gifts arrive?
Aim for client holiday gifts to arrive in the first two weeks of December, or send at Thanksgiving or New Year to avoid the December pile. USPS recommends sending Ground Advantage by Thursday, December 17, 2026 for delivery by Christmas in the lower 48.
How do I send gifts to 40 clients at 40 different addresses?
Put every client in one spreadsheet, a row each with name and address, then either pack and ship each gift yourself or give the list to a vendor that ships every gift to its own address. Personalized Gifts Delivered does that with a logo mug gift box: one order, one box per address, $35 per box delivered, no minimum.
