How to Send a Gift to Every Client at Their Own Address (Upload a Spreadsheet, We Ship Each Box)

Updated

In short

Sending 40 client gifts to 40 addresses takes one spreadsheet with a row per client and a seller that ships each box separately, so you never pack or ship anything yourself. With Personalized Gifts Delivered, each client gets a $35 logo mug gift box, in the lower 48 states and Washington, DC, except Texas for now. No minimum.

We sell a $35 logo mug gift box, printed, packed and shipped to each person's address. This guide covers the other options too.

Key facts

  • $35 per box, delivered. Shipping to each address is included. No minimum: one box is fine.
  • One list, many addresses. You add one address list (typed, pasted, a CSV or a Google Sheet) and each box ships separately to its own address.
  • Correct before it ships. The order page reads messy lists and flags any row we can't ship to, and you see every person's card, greeting them by first name, before you pay.
  • Lower 48 states and Washington, DC, except Texas for now. No Alaska, Hawaii, Puerto Rico, APO/FPO or international addresses. We ship from New York.
  • Shipping time. Ships within 2 business days of a complete order (your design, your address list and payment). Ships by USPS Ground Advantage or UPS Ground, with tracking, and usually arrives 2–5 business days after it ships. Delivery dates are carrier estimates, not guarantees, and run slower in mid-December.
  • Order by Tuesday, December 15 for Christmas. That date covers printing, packing and shipping.

How do I send a gift to every client at their own address? Four steps

Add your logo (or type your website and we'll find it), or a photo or a few words for a personal gift; check the preview of your mug and card; add your address list; and pay $35 per box. We print, pack and ship each box to its own address.

  1. Add your logo. Upload it, paste it, or type your website and we'll find it. It's printed small on one 11 oz white ceramic mug by sublimation (heat bonds the ink into the mug's coating).
  2. Check the preview of your mug and card. Look at where the logo sits and how big it is: small reads as a thank-you, big reads as an ad (the data on logo mugs as gifts). Write your card message here too: one message for everyone, up to 300 characters, which can greet each person by first name (holiday card messages for clients).
  3. Add your address list. One row per recipient. The client address spreadsheet template has the columns, and the order page also reads lists in other shapes: a full name in one cell, a state written out, a ZIP that lost its leading zero. It flags any row we can't ship to or that's missing a street, city or ZIP, and you pay once every row is fixed or taken out. You see every person's card, with their first name filled in, before you pay.
  4. Pay $35 per box. Forty clients is $1,400, with shipping to all forty addresses included.

That is the whole flow of the custom logo mug gift box, shipped to each client, no minimum. You never pack or post a box yourself. When your boxes ship, you get one email with a spreadsheet of recipient, ship date, carrier, tracking number and $35 per box. It doubles as an itemized record for your files.

What are the ways to ship gifts to multiple addresses?

Three common ways, each solving a different problem:

Pack and ship it yourselfGift link (the recipient enters an address)Ship to each address from a spreadsheet (Personalized Gifts Delivered)
Who needs the addressesYouNobody up front: each person types their ownYou, in one spreadsheet
Who packs the giftYouThe vendorWe do, by hand
Who pays postageYou, box by boxDepends on the vendorIncluded in the $35
What the recipient doesOpens a boxOpens a link, claims the gift, enters an address, waitsOpens a box
Where it worksA handful of people and time to packYou lack addresses, or recipients are abroadYou have addresses and want the gift to arrive unannounced

A gift link solves the address problem; the trade-off is that the recipient has to act before anything arrives. A shipped box skips that step and can be opened the day it lands (gift links vs a box at the door).

Can I pack and ship the gifts myself?

Yes: you can pack and ship them yourself, and by our estimate 25 logo mug gift boxes take about 9 hours of hands-on work, plus a week or more waiting for supplies to arrive.

Step Our estimate, 25 boxes
Find a mug printer, compare minimums, upload the logo, approve a proof about 1 hour
Order the rest separately: gift boxes, tissue, seal stickers, cards and envelopes, foam, shipping cartons, crinkle, cocoa, truffles (about 8 orders) about 1 hour
Clean up the address list and buy 25 shipping labels about 1½ hours
Write or print 25 cards about 45 minutes
Pack 25 boxes (treats into the mug, foam, tissue, seal, card, carton, crinkle, tape), about 8 minutes each about 3½ hours
Drop off the cartons, then follow 25 tracking numbers about 1 hour

Per box, it comes out about even. Priced from retail supply packs, 25 DIY boxes come to about $38 a box with USPS counter postage (about $34 with commercial postage), with $1,192.84 up front for the mugs, the retail supply packs and 25 postage labels, and leftovers, as of Oct 26, 2026 (DIY mug gift box vs ordering one). That lands close to our $35 before your time.

A small mistake repeats. A mug packed without a collar can break at the handle and must be bought, packed and shipped again; a wrong or stale address sends a box away and back; a typo on 25 printed cards means printing 25 again.

With Personalized Gifts Delivered, you upload a logo (or type your website), paste the list, check the preview and pay. We print, pack and ship each box to its own address.

"40 clients and I'm worried about messing up the logistics": the worry, point by point

Someone asked to organize thank-you gifts for about 40 top clients at a company in Ireland posted exactly this on r/smallbusiness: "First time organising Christmas gifts for 40 clients and I'm worried about messing up the logistics" (thread). The list was "around 40 different clients, different addresses, some office addresses, some people working remotely, and probably a few last-minute changes because that always happens." One reply listed what to settle early: the final list, correct shipping details, the delivery deadline, a backup if an address is wrong, and tracking.

The worry What you do What Personalized Gifts Delivered does
The final list Decide who gets a gift before you collect any addresses. No minimum, so the list can be any size, even one person.
Correct shipping details Ask each client where it should go (how to ask without it being awkward), and check new addresses with the free USPS ZIP Code lookup. Reads your list, flags any row we can't ship to or that's incomplete, and ships each box to the address in its row.
The delivery deadline Pick the day it should arrive by, then work back to the order-by date. Order by Tue Dec 15 for Christmas. Hanukkah starts the evening of Dec 4, so order by Mon Nov 23.
A backup if an address is wrong Fix doubtful rows before you upload (what happens after a wrong address). If a box arrives broken, send us a photo within 7 days of delivery and we'll reship it free. If a box goes astray because of an address on your list, we'll reship it to the corrected address for what the reship costs us, with no markup, and tell you the amount before we send it.
Tracking Keep the shipping spreadsheet we email you next to your list. Every box ships with tracking, and one email lists every tracking number.
Packing 40 boxes on the floor Nothing. We print, pack and ship. Each box is packed by hand.

What should I check in my address spreadsheet before I upload it?

The address spreadsheet template has the columns. The order page flags rows we can't ship to (Alaska, Hawaii, Texas (for now), Puerto Rico, other territories, APO/FPO, abroad), blank required cells and the same name and address twice, and it puts back the leading zero Excel strips from New England and New Jersey ZIPs. Four checks only you can make:

  1. Current addresses. Clients move, and last year's list carries every move since. Ask where it should go this year.
  2. Unit numbers. "Apt 4B" or "Suite 210" belongs in the address. Without it, a carrier at a large building has to guess.
  3. One person, one row. A home row and an office row for the same client, or a typo in a name, won't read as a duplicate.
  4. Each new address checked with the free USPS ZIP Code lookup.

P.O. boxes are fine: those boxes ship by USPS, because UPS can't deliver to a P.O. box.

How is each box packed and shipped?

Each box is packed by hand, in layers:

  • the mug stands on a 2 in foam pad, held in a 1 in foam collar, with a 1 in foam pad on its rim;
  • that sits inside the matte-black magnetic box, with the treats and tissue, and your card lies on the lid;
  • the gift box ships inside a plain white 9 × 9 × 9 in shipping carton, with about 1 in of crinkle on every side and only the shipping label on the outside.

The mugs we've seen break in shipping broke at the handle, and the rim is the other weak spot. The collar holds the mug still, and the top pad sits between the rim and the lid (how to ship a mug without breaking it). Your logo and name aren't on the carton, so at a client's home it looks like any other parcel.

Inside: the mug with your logo, a 1.5 oz packet of Ghirardelli premium hot cocoa and 4 Lindt LINDOR milk chocolate truffles, black tissue under a gold seal, and your card in an envelope closed with a gold wax-seal sticker (what's in the box). LINDOR truffles contain milk, soy and barley malt (gluten); read the labels.

When should I order so the gifts arrive on time?

Our order-by dates for this season:

Occasion 2026 date Order by
Thanksgiving Thu, Nov 26 Mon Nov 16
Hanukkah Begins the evening of Fri, Dec 4 Mon Nov 23
Christmas Fri, Dec 25 Tue Dec 15
New Year Fri, Jan 1, 2027 Mon Dec 21

USPS's own recommended Christmas send-by dates in the lower 48 are Dec 17 for Ground Advantage, Dec 18 for Priority Mail and Dec 19 for Priority Mail Express, and USPS says actual delivery dates "may vary" (USPS). Every date: 2026 holiday order-by dates.

What to know before you order

  • Where we ship. We don't ship to Alaska, Hawaii, Texas (for now), Puerto Rico, APO/FPO or other countries. The order page flags those rows, and every other row on your list ships as normal.
  • Delivery dates. Delivery dates are carrier estimates, not guarantees. Our order-by dates allow for the slow end of the carrier's estimate.
  • One message per order. Every card carries the same message and sign-off, greeting its person by first name. For two versions, split the list into two orders; one box is a complete order.
  • Gift limits. Each box is $35, delivered. Federal employees may accept "unsolicited gifts having an aggregate market value of $20 or less per source per occasion, provided that the aggregate market value of individual gifts received from any one person … does not exceed $50 in a calendar year" (5 CFR 2635.204(a), read Oct 29, 2026), and some industries set their own caps (see gifts to government employees and client gift limits by industry). This is information, not legal or tax advice. Check the current rule (or check with the recipient's agency ethics official) before you send.
  • Food. LINDOR truffles contain milk, soy and barley malt (gluten); read the labels. Every box has the same treats, so ask anyone you're unsure about first (allergy checklist).

Where Personalized Gifts Delivered fits: one list in, a finished gift at every door

Your part is the list, the logo and one message. The printing, packing, postage and post office runs are ours:

  • The box, finished: cocoa and truffles in the mug, foam below, around and on the rim, black tissue under a gold seal, all in a matte-black gift box with a magnetic lid, with your card on top so it's read before the box opens.
  • The checks: the order page flags rows we can't ship to, and you see the mug and every person's card before you pay.
  • The shipping: each box to its own address, with tracking, in a plain carton whose return address shows PersonalizedGiftsDelivered.com, never your name. Then one email with the spreadsheet for your files.

Forty boxes are $1,400, shipping included: no minimum, no setup fee and no sales tax added at checkout (why it's $35 whether you send 1 or 50; more answers on the FAQ).

Ready with your list? Upload a spreadsheet of client addresses and we ship each box: $35 delivered, no minimum.

Frequently asked questions

Can I send a gift to each client at a different address from one order?
Yes: add one address list with a row per recipient (type it, paste it, upload a CSV or link a Google Sheet), and Personalized Gifts Delivered ships every box separately to its own address in the lower 48 states and Washington, DC, except Texas for now.
Who will ship a logo mug gift box to each client's address with no minimum?
Personalized Gifts Delivered ships a $35 logo mug gift box to each address on one list, with no minimum: one box is fine, shipping is included, and you see every person's card before you pay.
Can each client's card use their name?
Each client's card can greet them by first name: Personalized Gifts Delivered prints one message and one sign-off for the whole order, and fills {first name} in the message from each row of your address list. The message (up to 300 characters) is printed, not handwritten, on a card in an envelope closed with a gold wax-seal sticker, lying on the gift box's lid.
Do you ship to Alaska, Hawaii, APO/FPO addresses or other countries?
Personalized Gifts Delivered doesn't ship to Alaska, Hawaii, APO/FPO addresses or other countries: it ships to the lower 48 states and Washington, DC, except Texas for now. The order page flags any row outside that area, so you can take it out before you pay.
Does the shipping box show our logo or our name?
Neither your logo nor your name is on the outside: each gift box travels inside a plain white shipping carton, and the label's return address shows PersonalizedGiftsDelivered.com and our address, never yours. Your name appears only on the card inside.
When should I order client gifts so they arrive before Christmas?
Order a Personalized Gifts Delivered gift box by Tuesday, December 15 for Christmas delivery; that date covers printing your logo, packing and shipping. USPS's recommended send-by date for Ground Advantage delivery by Christmas in the lower 48 is Thursday, December 17, and USPS says actual delivery may vary.
