The Mailed Pop-By: Pop-By Ideas for Realtors When Past Clients Live Too Far to Drop By (Winter Edition)

Updated

In short

A pop-by is a small, themed gift a realtor drops off to stay in touch with past clients, with a pun on the tag. For clients who moved away, or who'd rather not open the door, mail it instead. In winter, a classic is hot cocoa: "Do a bag with hot chocolate or tea bags," one broker advised.

On this page11 sections

We sell a $35 logo mug gift box, printed, packed and shipped to each person's address. This guide covers the other options too.

Key facts

  • Buffini & Company, a real estate coaching firm whose members use pop-bys, on one sign of a Buffini agent: "You spend a large part of your week either shopping for, preparing or delivering Pop-Bys" (Buffini & Company blog, July 2019).
  • A broker on r/realtors: "pop-bys aren't for "getting business". They're a touch point in long term relationships" (r/realtors, Mar 2026).
  • An agent who mails monthly pop-bys: "the items need to be able to fit in an envelope" (r/realtors, Jun 2024).
  • USPS recommends sending Ground Advantage by Thursday, December 17 for expected delivery before Christmas in the lower 48 (USPS).
  • The CFPB on gifts to consumers for their own business: "Generally, yes," but Section 8 "prohibits, for example, giving an incentive to a consumer in exchange for the consumer referring other business" (CFPB RESPA FAQs).

This page is part of our client gifts by profession guide, beside realtor client gifts and closing gifts.

What is a pop-by?

A small gift, a pun and a minute at the door. Agents visit past clients and their sphere through the year with something small and themed; in the threads below, that means pie at Thanksgiving, seeds in spring and cocoa in winter. The tag carries the joke, and the joke carries your name. "I think a clever tag makes all the difference," wrote one broker, who built a sales business "by mailing market reports and doing pop-bys" (r/realtors).

Not everyone wants the knock. A March 2026 thread on spring pop-bys turned into a debate. One agent: "anyone that pops by my house unannounced/uninvited is not someone I will be doing business with." Another replied: "Most literally stop, drop off, and don't even disturb the person." The broker in the thread: pop-bys are "a touch point in long term relationships with past clients, future clients, sphere, neighbors, and trusted partners" (r/realtors, Mar 2026).

Why mail a pop-by?

Three problems the porch drop can't solve:

Porch drop Mailed pop-by
Clients who moved across the country Out of reach Reachable by mail
Clients who don't want a visit You knock anyway You don't knock
Your time Buffini: "You spend a large part of your week either shopping for, preparing or delivering Pop-Bys" One list, one order
Knowing it arrived You left it there Tracking shows delivery
The face-to-face minute Yes No: call or text when it lands

The porch-gift risk is real. The agent who disliked pop-bys had left "little goody bags of treats" and got back "one with pictures attached of an old moldy goody bag" (r/realtors).

Mailing has its own limit: an envelope. The agent who mails monthly pop-bys wrote that "the items need to be able to fit in an envelope," and was stuck on December: "Probably something hot chocolate themed? Not entirely sure." A shipped gift box lifts the envelope limit: a mug, the cocoa and a card travel together.

Winter pop-by ideas, with a tag line for each

The ideas come from agents on r/realtors (2018, 2024); the tag lines are ours, except the instant-coffee one, adapted from a 2018 agent's "Call me the instant you want real estate info"; use them freely.

WhenPop-byTag lineMails in an envelope?
Before ThanksgivingA pie, picked up at your office ("a reverse pop-by")"We're thankful for clients like you"No: they come to you
NovemberInstant coffee"Call me the instant you need anything for the house"Yes
DecemberHot cocoa, with a mug"Hope your holidays are marshmallow-y"Packets yes; a mug ships in a box
DecemberAn ornament"Our favorite memory this year: your new home"Small ones
Early JanuaryA cold-season kit (cough drops, tissues)"Here's to a healthy new year at home"Yes
Late JanuaryPaperwhite bulbs, after the holiday rush"Something to bloom while you wait for spring"No
FebruaryMints in a heart"We mint to say thanks"Yes

The agent who delivers paperwhite bulbs picked late January on purpose: "i purposefully avoid the holiday time because people have so much junk to deal with, a couple weeks after the holidays this gift stands out" (r/realtors, 2018).

Can a realtor give pop-bys to past clients under RESPA?

This section quotes the rules. It doesn't apply them to your situation.

Regulation X lists "(14) Rendering of services by a real estate agent or real estate broker" among settlement services (12 CFR 1024.2(b)). The CFPB's FAQ on gifts to consumers:

"Under RESPA Section 8, can a lender or other settlement service provider give a gift, refund, or discount to a consumer for using that lender or provider?"

"Generally, yes." … "However, RESPA Section 8 prohibits, for example, giving an incentive to a consumer in exchange for the consumer referring other business to that lender or other settlement service provider."

CFPB RESPA FAQs, RESPA Section 8 General (FAQs last updated October 7, 2020; read October 29, 2026)

For gifts to lenders, title officers or anyone else who refers you, the CFPB says "There is no exception to RESPA Section 8 solely based on the value of the gift or promotion" (same FAQs). And NAR's own standard on inducements points to state law:

NAR Standard of Practice 12-3: "The offering of premiums, prizes, merchandise discounts or other inducements to list, sell, purchase, or lease is not, in itself, unethical even if receipt of the benefit is contingent on listing, selling, purchasing, or leasing through the REALTOR® making the offer." … "The offering of any inducements to do business is subject to the limitations and restrictions of state law and the ethical obligations established by any applicable Standard of Practice."

NAR 2026 Code of Ethics and Standards of Practice (read October 29, 2026)

The CFPB's answers on gifts to referral sources are in RESPA Section 8 in the CFPB's own words; other trades' limits are in client gift limits by industry. Check your state's real estate commission rules on gifts and inducements.

This is information, not legal or tax advice. Check the current rule (or ask your broker, counsel or compliance officer) before you send.

What should the tag or card say?

Puns work on a pop-by because the gift is small; the joke does the remembering. Our suggestion: a tag that thanks, rather than one that asks for business. As the broker quoted above put it, pop-bys "aren't for "getting business"".

On a Personalized Gifts Delivered order, the card is your tag: printed (not handwritten), with no logo or brand, one message and one sign-off for the whole order, up to 300 characters. The message can include {first name}, filled in from the address list, and you preview every person's card before you pay. The order page tells you if a message is too long to print.

  • "Hi {first name}! Hope your holidays are marshmallow-y and your first snow day at home is a cozy one."
  • "{first name}, we couldn't swing by in person this year, so we mailed the cocoa instead. Mug up and enjoy the house."
  • "Hi {first name}, it's cocoa season. Slow down, warm up and enjoy every room you worked so hard to find."

More holiday lines: holiday card messages for clients.

How do I mail a winter pop-by to every past client?

  1. Pull your past-client list, with each client's current address. Clients who moved are the reason to mail.
  2. Pick the week: early to mid December, by the order-by date in the table below.
  3. Write one tag line for the card, with {first name}.

Start from our client address spreadsheet template.

Can I make and mail the pop-bys myself?

Yes: you can assemble and mail a boxed pop-by yourself, and by our estimate 25 logo mug gift boxes take about 9 hours of hands-on work, plus a week or more waiting for supplies. That's a mug printer's proof, about 8 supply orders, 25 labels, 25 cards and about 3½ hours of packing (about 8 minutes a box). Per box, it comes out about even with our $35: about $38 with USPS counter postage, about $34 with commercial postage, with $1,192.84 paid up front for the mugs, the retail supply packs and 25 postage labels (our DIY cost comparison, prices as of Oct 29, 2026). A mug packed without a collar can break at the handle; a stale address from a client who moved sends a box away and back.

With Personalized Gifts Delivered, the winter pop-by is one order. It's a custom logo mug gift box, shipped to each past client, no minimum. Add your logo (or type your website and we'll find it), or a photo or a few words for a personal gift; check the preview of your mug and card; add your address list; and pay $35 per box. We print, pack and ship each box to its own address. One order takes up to 100 boxes; for more, email us at hello@personalizedgiftsdelivered.com.

We ship from New York, to the lower 48 states and Washington, DC, except Texas for now. Ships within 2 business days of a complete order (your design, your address list and payment). Ships by USPS Ground Advantage or UPS Ground, with tracking, and usually arrives 2–5 business days after it ships. Delivery dates are carrier estimates, not guarantees, and run slower in mid-December.

Spring and summer pop-bys

For spring, agents in the 2026 thread named "Paper with wildflower seeds embedded in it" and "flower packets, tea bags, etc. something small"; another agent's summer idea was simply "sunscreen" (r/realtors; 2024). Our box is the winter one on this page: cocoa and truffles, in tissue closed with a gold seal that reads "Happy Holidays".

What to know before you order

  • Gift rules. Each box is $35, delivered. The CFPB's answers on gifts to consumers and to referral sources, and NAR's Standard of Practice 12-3, are quoted above in their own words.
  • One design and one message per order. Every mug in an order carries the same logo (or photo or words), and every card the same tag line and sign-off, with each client's first name filled in. A second design is its own order; one box is a complete order.
  • The treats. LINDOR truffles contain milk, soy and barley malt (gluten); read the labels. The allergy and diet checklist covers what to ask first.
  • Where we ship. The lower 48 states and Washington, DC, except Texas for now; no Alaska, Hawaii, Puerto Rico, other US territories, APO/FPO or international. The order page flags any row we can't ship to, so you can fix it or take it out.
  • Delivery dates. Delivery dates are carrier estimates, not guarantees, so order by the date in the table above for your occasion.

Where Personalized Gifts Delivered fits for a realtor's past clients

A mailed pop-by does what the porch drop can't: it ships to the clients who moved, with no visit at the door. One order covers it:

  • A pop-by with your name on it: an 11 oz white ceramic mug with your logo printed small (or a photo or a few words, if you'd rather leave the logo off), a 1.5 oz packet of Ghirardelli premium hot cocoa and 4 Lindt LINDOR milk chocolate truffles packed inside it, black tissue closed with a gold "Happy Holidays" seal sticker, in a matte-black gift box with a magnetic lid.
  • Your tag line, on every card: printed, greeting each client by first name, in an envelope closed with a gold wax-seal sticker. You see every client's card before you pay.
  • At each client's current address: packed by hand in foam, inside a plain white shipping carton that carries only the label; the label's return address shows PersonalizedGiftsDelivered.com.
  • Your cue to follow up: when your boxes ship, you get one email with a spreadsheet of recipient, ship date, carrier, tracking number and $35 per box; the tracking numbers tell you when to text each client.

That's $35 per box, delivered, whether you send 1 or 50. Send this winter's pop-by to every past client: start your order.

Frequently asked questions

What is a pop-by in real estate?
A pop-by is a small, themed gift a real estate agent drops off at a past client's home or office to stay in touch, often with a pun on the tag. One broker on r/realtors calls pop-bys "a touch point in long term relationships with past clients, future clients, sphere, neighbors, and trusted partners."
Can I mail a pop-by instead of dropping it off?
Yes: a mailed pop-by can go to past clients who moved away and to clients who would rather not answer the door. One agent on r/realtors mails a pop-by every month and found the hard part was that "the items need to be able to fit in an envelope"; a shipped box removes that limit.
What is a good winter pop-by idea?
Hot cocoa is a classic winter pop-by: one broker's December advice on r/realtors was "Do a bag with hot chocolate or tea bags, ornaments, or a holiday-themed candle." Pair it with a pun on the tag, such as a wish for a marshmallow-y holiday.
Is a pop-by gift to past clients allowed under RESPA?
The CFPB answers "Generally, yes" when asked whether a settlement service provider can give a consumer a gift for using its services, but says Section 8 prohibits "giving an incentive to a consumer in exchange for the consumer referring other business". Ask your broker, counsel or compliance officer about your own program.
Who will mail a winter pop-by gift box to each past client with no minimum?
Personalized Gifts Delivered ships a $35 logo mug gift box to each past client's own address, with no minimum. Each box holds a mug with your logo printed small (or a photo or a few words), Ghirardelli cocoa, 4 Lindt LINDOR milk chocolate truffles and your tag line on a card that greets each client by first name.
