We sell a $35 logo mug gift box, printed, packed and shipped to each person's address. This guide covers the other options too.
Key facts
- 12%: "Gallup finds that only 12% of employees strongly agree that their organization does a great job onboarding new employees" (Gallup, published 2018, updated Apr 2026).
- Before day one counts: "The time leading up to and extending beyond the first day on the job is all part of onboarding" (same Gallup article).
- Swag kits can come in quantity: SwagUp's FAQ says "Most items start at 25 units, though some premium or fully custom products require 50 or more," and puts onboarding packs at "$60–120 per pack" (SwagUp FAQ, as of Oct 29, 2026).
- Gift cards are never de minimis: IRS Publication 15-B says cash equivalents such as gift cards, "no matter how little, are never excludable as a de minimis benefit" (Pub. 15-B, read Oct 29, 2026).

What's a Good Welcome Gift for a New Employee?
A welcome gift's job is to say one thing: we're ready for you. Gallup's advice to employers is that "companies should make sure new hires feel welcomed and immediately appreciated, quickly developing a sense of purpose and belonging" (Gallup). A box at the door before Monday does the "welcomed"; the note does the "purpose".
Costs are our suggestions, not survey figures, except where a source is named.

| Welcome gift | Rough cost | Works for a remote hire? | What to know |
| A note from the manager: who they'll work with, what's first | Free | Yes | The part they can reread; do it whatever else you send |
| A logo mug gift box with cocoa, truffles and a printed card | $35 delivered (Personalized Gifts Delivered) | Yes, shipped to their home | One box is a complete order |
| A swag pack (hoodie, bottle, notebook) | "$60–120 per pack", per SwagUp's FAQ | Yes | Needs their size; "Most items start at 25 units" |
| Lunch with the team in week one | $15 to $40 a person | Only for people nearby | Best on day two or three, once names stick |
| A book the team uses | $15 to $30 | Yes | Pick one the team actually talks about |
| Local coffee or tea | $15 to $30 | Yes | Ask about caffeine first |
Two notes. Work gear isn't a gift: the laptop and the badge are the job's tools. Keep the logo small: one useful item with a small logo, plus a treat and a note, reads as a welcome rather than marketing (our suggestion).
One real voice on how small a gesture can be: a commenter in an r/humanresources thread on workplace celebrations said their company marks a new hire with a "small 'welcome John Smith to the Accounting team!' with photo in the company newsletter" (thread). A newsletter line greets them at work; a box greets them at home, before the first login.
When Should a Welcome Gift Arrive? Before Day One
Aim for two or three days before the start date (our suggestion). Later, it lands in the noise of week one. Before day one, it's the first thing your company sends after the signed offer that isn't a form.
The timing is arithmetic. For a Personalized Gifts Delivered box: Ships within 2 business days of a complete order (your design, your address list and payment). Ships by USPS Ground Advantage or UPS Ground, with tracking, and usually arrives 2–5 business days after it ships. Delivery dates are carrier estimates, not guarantees, and run slower in mid-December.

Ask for the address directly: the new hire may be moving for the job. Our guide to collecting employees' home addresses has an opt-in form and an email you can copy. For a new hire working from home, the full playbook is in gifts for remote employees.
Why "No Minimum" Matters When You Hire One Person at a Time
A small business hires one person, then another three months later. Swag kits are built the other way round. SwagUp, a swag-pack company, says on its FAQ (as of Oct 29, 2026):
- Minimums: "Most items start at 25 units, though some premium or fully custom products require 50 or more."
- Storage for later hires: "Storing swag with SwagUp means you can send individual packs on-demand without waiting for production, which is ideal for ongoing onboarding or gifting programs." It adds: "Monthly storage fees apply based on volume."
That works for a company onboarding dozens a quarter. For a team of 8 hiring its ninth, buying 25 of an item to send one means 24 waiting in storage.
Not every gift company has a minimum: our employee gift box comparison lists several that take an order of one, checked Oct 29, 2026. Personalized Gifts Delivered is one of them: one box is a complete order, at $35 delivered, and the next new hire's box is another order of one.
Is a Welcome Gift Taxable? What IRS Pub. 15-B Says
IRS Publication 15-B starts from a default: "Any fringe benefit you provide is taxable and must be included in the recipient's pay unless the law specifically excludes it." Its de minimis section reads:
"A de minimis benefit is any property or service you provide to an employee that has so little value (taking into account how frequently you provide similar benefits to your employees) that accounting for it would be unreasonable or administratively impracticable. Cash and cash equivalent fringe benefits (for example, gift certificates, gift cards, and the use of a charge card or credit card), no matter how little, are never excludable as a de minimis benefit." …
IRS Publication 15-B (2026), "De Minimis (Minimal) Benefits". Read Oct 29, 2026.
The IRS's de minimis page adds: "Whether an item or service is de minimis depends on all the facts and circumstances." "The IRS has ruled previously in a particular case that items with a value exceeding $100 could not be considered de minimis, even under unusual circumstances." (IRS, page last reviewed or updated Jun 28, 2026; read Oct 29, 2026). More: employee gifts and taxes.

What Sending a Welcome Gift Yourself Takes
Yes: you can put together and mail a welcome box yourself. For one box, our DIY cost comparison priced a Printful logo mug shipped to you at about $12.76 and counter postage for the finished box (Zone 5) at $15.70: $28.46 before the cocoa, the truffles, a gift box, tissue or a card, which you'd buy one at a time at a local store's prices (as of Oct 29, 2026).
For 25 logo mug gift boxes, the same comparison comes out about even with our $35 per box: about $38 with USPS counter postage and about $34 with commercial postage, with $1,192.84 paid up front for the mugs, the retail supply packs and 25 postage labels. By our estimate, those 25 boxes take about 9 hours of hands-on work, plus a week or more waiting for supplies. And a mug packed without a foam collar can break at the handle, and then it has to be bought, packed and shipped again, now with day one closer.
Ordering from us, by contrast: upload a logo (or type your website), add their address, check the preview, pay. We print, pack and ship each box to its own address.
What to Know Before You Order
- The seal says "Happy Holidays". On every box today, the black tissue inside closes with a gold "Happy Holidays" seal sticker. Your card, read first on the lid, carries the welcome.
- The card is printed. One message and one sign-off per order, up to 300 characters; the order page tells you if a message is too long to print. Two new hires starting the same week can share one order and one message, each card greeting its person by first name.
- The treats. LINDOR truffles contain milk, soy and barley malt (gluten); read the labels.
- Summer starts. The box holds chocolate. Lake Champlain Chocolates, which ships chocolate nationwide, says that "exposure to heat and humidity can cause the chocolate to bloom or melt" in summer and in warm places (Lake Champlain Chocolates).
- Where we ship. From New York to the lower 48 states and Washington, DC, except Texas for now: no Alaska, Hawaii, Puerto Rico, other US territories, APO/FPO or international addresses. The order page flags a row we can't ship to, so you can fix it or take it out before you pay.
- If something goes wrong. If a box arrives broken, send us a photo within 7 days of delivery and we'll reship it free. If a box goes astray because of an address on your list, we'll reship it to the corrected address for what the reship costs us, with no markup, and tell you the amount before we send it.
Where Personalized Gifts Delivered Fits for a New Hire
A welcome gift goes to one person, on a date you know weeks ahead. Personalized Gifts Delivered does that job with no minimum: a logo mug gift box with Ghirardelli cocoa, Lindt truffles and a personal card, $35 per box, delivered, whether you send 1 or 50.
- The gift: an 11 oz white ceramic mug with your logo printed small (or a photo or a few words), a 1.5 oz packet of Ghirardelli premium hot cocoa and 4 Lindt LINDOR milk chocolate truffles packed inside it, in a matte-black gift box with a magnetic lid.
- The welcome: your message, printed on a textured card in an envelope closed with a gold wax-seal sticker, lying on the lid so it's read before the box opens. You see the mug and the card before you pay.
- To their door: packed by hand in foam and shipped in a plain white carton whose return address shows PersonalizedGiftsDelivered.com; your company's name is on the card inside.
- A record: when the box ships, one email brings a spreadsheet of recipient, ship date, carrier, tracking number and $35 per box.
Add your logo (or type your website and we'll find it), or a photo or a few words for a personal gift; check the preview of your mug and card; add your address list; and pay $35 per box. We print, pack and ship each box to its own address. Start date set? Start your order.
