Closing and Project-Completion Gifts: What to Send When the Deal Signs or the Job Ends, and When

Updated

In short

Send a closing gift once the contract is signed, never while a bid is open, and a project-completion gift a few weeks after the job ends, once things have calmed down. Keep it personal, not impressive: "A $40 personal gift will go a lot further than a $500 "impressive" gift 100% of the time," one sales rep wrote on r/sales.

We sell a $35 logo mug gift box, printed, packed and shipped to each person's address. This guide covers the other options too.

Key facts

  • Not during a bid: "Never give a gift to an outside business associate who is either currently involved in a bidding process with your firm or receiving a bid from you or your company" (Emily Post Institute).
  • Government clients: a federal employee may accept "unsolicited gifts having an aggregate market value of $20 or less per source per occasion" (5 CFR 2635.204(a)).
  • What companies spend: a $30 median per client gift, against the $100 clients said they expect, in a 2022 poll of 1,547 professionals (business.com, a publisher-run survey).
  • Price doesn't buy thanks: givers expect pricier gifts to be appreciated more; recipients' appreciation isn't linked to price (Flynn and Adams, 2009).

Part of our client gifts guide.

When Should You Send a Closing or Project-Completion Gift?

After the signature, and after the dust settles. Before the contract signs, a gift is a sales tactic, and etiquette says no: the Emily Post Institute's rule above names anyone "currently involved in a bidding process with your firm". At the other end, the day a job ends is crowded. When a realtor's thread on r/realtors turned to timing, the reply was: "Right after closing they are probably a bit overwhelmed. 4-6 weeks later things have calmed down a bit" (r/realtors).

A carpenter on r/smallbusiness had the same question about walnut cutting boards for clients: give them "after project completion", or "a few months after project completion as a sort of "hey remember us"" (r/smallbusiness, 2026).

The 4–6 week rule, as a calendar (our suggestion):

Moment What fits Why
A bid or negotiation is open Nothing It reads as an inducement
The contract signs A short note the same day It thanks the decision, with no strings
Kickoff A small welcome gift for the people you'll work with The relationship starts with something useful
The job's last day A thank-you card, or a word at the handover They're busy; the card can wait in a drawer
4 to 6 weeks later The gift "things have calmed down a bit"
The anniversary A card that names the project It's unexpected

For a software sale, the kickoff often is the "go-live". One reply when a SaaS rep asked about post-signing gifts: "A go-live celebration may be OK but look up laws for your jurisdiction" (r/sales).

Could a Closing Gift Look Like a Bribe?

It can, and the person receiving it may have to report it. One reply in the same r/sales thread: "Bribes and kickbacks? Might want to reconsider." In another, a buyer wrote: "If I bought something and I got a gift I would have to fill in anti bribery paperwork and I would curse you, not thank you." Then, more kindly: "Decent pen is a good go to, I would fill in the paperwork for a really nice pen" (r/sales).

Companies set their own lines. The Emily Post Institute: "Many companies forbid ANY corporate gift giving, or only allow employees to accept gifts valued less than $25," and "Be sure to follow your own company rules AND check with the HR department at the intended recipient's company first" (Emily Post Institute).

This section quotes the rules. It doesn't apply them to your client.

"An employee may accept unsolicited gifts having an aggregate market value of $20 or less per source per occasion, provided that the aggregate market value of individual gifts received from any one person under the authority of this paragraph (a) does not exceed $50 in a calendar year." … "the employee may not pay the excess value over $20 in order to accept that portion of the gift or those gifts worth $20."

5 CFR 2635.204(a) (eCFR, up to date as of October 27, 2026). Read October 29, 2026.

State and local governments, mortgage, title, insurance and other trades have rules of their own, each quoted from its source: client gift limits by industry and gifts to government employees. For real estate closings: closing gifts for buyers and sellers.

This is information, not legal or tax advice. Check the current rule (or check with the recipient's agency ethics official or employer) before you send.

What to Send: Personal Beats Impressive

The sales rep's reply: "I always make them personal. Write down comments they make. A $40 personal gift will go a lot further than a $500 "impressive" gift 100% of the time" (r/sales). Another in the same thread: "Hand write them a personalized thank you card on some very nice stationary. That usually goes farther than some kind of trinket."

The research agrees. In Flynn and Adams's studies, givers assumed a pricier gift would be appreciated more; recipients didn't feel it that way. And in business.com's poll, 54% of gift recipients had thrown away at least one gift without using it, and "prominently branded items felt more like ads than tokens of appreciation." Its advice to senders: "Send a gift, not an ad."

What fits (our suggestion), by the kind of job:

Who's sending The closing moment A personal detail to use
A sales rep The contract signs, or go-live Something they mentioned on a call: a hometown, a team, a dog
An agency or consultant Launch day, 4–6 weeks on A line from the project, the night before launch
A contractor or remodeler The final walkthrough, 4–6 weeks on The room you built; see gifts for homeowners from contractors
A designer or architect The handover, 4–6 weeks on The moment the plan became real

Something useful lasts. In ASI's 2026 study (a promotional-products industry survey), 87% of end-users said they would keep branded drinkware because it is useful (ASI). The Emily Post Institute's line on logos: "well made, in tasteful colors and with the logo understated enough not to look like an advertisement."

What Should the Card Say?

One moment from the work, a thank-you for the trust, and a short wish. No pitch for the next project. Two examples:

  • "Thank you for trusting us with the new site, [Name]. Launch night was a long one, and your calm made it easy. Enjoy the quiet weeks."
  • "The kitchen's finished and, we hope, already full of good mornings. Thank you for choosing us, and for every quick decision along the way."

More: thank-you messages for clients, with sections for the end of a project and for a signed deal.

What Sending These Yourself Takes

Yes: you can buy and ship a closing gift yourself, one client at a time, and for one gift the printed mug and counter postage alone cost $28.46, before the cocoa, the chocolate, a gift box, tissue or a card (the itemized DIY cost, as of Oct 29, 2026). Batched, by our estimate, 25 logo mug gift boxes take about 9 hours of hands-on work (about 3½ of them packing, at about 8 minutes a box), plus a week or more waiting for supplies from about 8 separate orders. Per box, it comes out about even: about $38 with USPS counter postage and about $34 with commercial postage, with $1,192.84 paid up front for the mugs, the retail supply packs and 25 postage labels.

Closings don't come in batches of 25. They come one a month, on someone's deadline, and a mug packed without a foam collar can break at the handle and must be bought, packed and shipped again. With Personalized Gifts Delivered, one box is a complete order: we print, pack and ship it to the client's address.

What to Know Before You Order

  • Gift limits. Each box is $35, delivered. Some employers and industries cap the gifts their people may accept; the limits, quoted from their sources: client gift limits by industry.
  • The seal says "Happy Holidays". The black tissue inside closes with a gold "Happy Holidays" seal sticker, whatever the season; your card carries the thank-you.
  • The treats. LINDOR truffles contain milk, soy and barley malt (gluten); read the labels. The truffles are chocolate, and Lake Champlain Chocolates, which ships chocolate, says "exposure to heat and humidity can cause the chocolate to bloom or melt" (Lake Champlain Chocolates).
  • One message per order. Every card in an order carries the same message, greeting each person by first name. A line about one client's project is its own order, and one box is a complete order.
  • Where we ship. The lower 48 states and Washington, DC, except Texas for now; no Alaska, Hawaii, Puerto Rico, APO/FPO or international. The order page flags any row we can't ship to, so you can fix it or take it out before you pay.

Where Personalized Gifts Delivered Fits for a Closing or Project-Completion Gift

The gift this page describes is small, personal, branded quietly and timed for four to six weeks out. Personalized Gifts Delivered sends it finished, the week you choose:

  • One box, any day. No minimum: one closing is a complete order, at $35 delivered. Order the week you want it to go out; it ships within 2 business days of a complete order.
  • Branded quietly. Your logo printed small on an 11 oz white ceramic mug, with Ghirardelli premium hot cocoa and 4 Lindt LINDOR milk chocolate truffles packed inside, in a matte-black gift box with a magnetic lid.
  • A card about the work. Your message, printed on a textured card in an envelope closed with a gold wax-seal sticker, lying on the lid. You see the mug and the card before you pay.
  • To their door. Their office or their home, in a plain white carton; the return address shows PersonalizedGiftsDelivered.com, and your name appears only on the card inside.
  • A record. When it ships, you get an email with a spreadsheet of recipient, ship date, carrier, tracking number and $35 per box: the date and value, if the client's policy asks.

Add your logo (or type your website and we'll find it), or a photo or a few words for a personal gift; check the preview of your mug and card; add your address list; and pay $35 per box. We print, pack and ship each box to its own address. We ship from New York. Ships within 2 business days of a complete order (your design, your address list and payment). Ships by USPS Ground Advantage or UPS Ground, with tracking, and usually arrives 2–5 business days after it ships. Delivery dates are carrier estimates, not guarantees, and run slower in mid-December.

Frequently asked questions

When should I send a closing gift to a new client?
Send a closing gift after the contract is signed, never while a bid or negotiation is open. The Emily Post Institute says "Never give a gift to an outside business associate who is either currently involved in a bidding process with your firm or receiving a bid from you or your company." A project-completion gift is better sent a few weeks after the job ends, once things have calmed down.
Could a gift after signing a contract look like a bribe?
A closing gift can look like a bribe if it's big or badly timed: "Bribes and kickbacks? Might want to reconsider," was one reply when a sales rep asked r/sales about new-client gifts. Federal employees may accept gifts of "$20 or less per source per occasion" (5 CFR 2635.204), and companies set their own limits.
How much should I spend on a closing gift for a client?
In business.com's 2022 poll (a publisher-run survey), the median amount companies spent on each gift was $30, while clients said they expect $100. Research finds recipients' appreciation isn't linked to price (Flynn and Adams, 2009), and one sales rep's rule: "A $40 personal gift will go a lot further than a $500 'impressive' gift 100% of the time."
What's a good gift after a project is completed?
A good project-completion gift is something personal the client will use, with a card that names one moment from the project, sent a few weeks after the job ends (our suggestion). Something to eat and something to keep is one pairing (our suggestion); check the client's gift policy first.
Should a closing gift carry my company logo?
Keep the logo small. The Emily Post Institute says gifts with a company's logo should be "well made, in tasteful colors and with the logo understated enough not to look like an advertisement." Recipients in business.com's 2022 poll said prominently branded items "felt more like ads than tokens of appreciation."
Who ships a single closing gift to one client's address, with no minimum?
Personalized Gifts Delivered ships one $35 logo mug gift box, delivered, to one client's address: one box is a complete order, ordered the week you want it to go out. It holds an 11 oz mug with your logo printed small, Ghirardelli cocoa, 4 Lindt LINDOR milk chocolate truffles and your printed card.
