We sell a $35 logo mug gift box, printed, packed and shipped to each person's address. This guide covers the other options too.
Key facts
- Gifts help keep accounts: 46% of gift recipients in business.com's 2022 poll (a publisher-run survey of 1,547 professionals) said year-end vendor gifts made them "more likely to continue working together" (business.com).
- Renewal timing matters: "if you are attempting to renew a contract or negotiate an increase in business, the timing of a gift may be perceived as an inappropriate attempt to influence the business decision in your favor" (Ogletree Deakins, 2014).
- Gratitude builds loyalty: in field experiments with grocery and general-merchandise retailers, researchers found that "Gratitude is a positive emotional response that builds long-term loyalty" (BI Business Review, Mar 2026, on a Journal of the Academy of Marketing Science study; retail, not B2B).
- A spreadsheet can do the date math: Google Sheets' EDATE "Returns a date a specified number of months before or after another date" (Google).
Should You Send Something on a Client's Anniversary?
A holiday gift shares its season with every other vendor's. An anniversary gift goes out on a date that belongs to you and that client, and it says one thing a December box can't: we noticed how long you've been with us.
It also fits the businesses that run on long relationships: agencies on retainer, managed IT providers on contracts, software sold by subscription, bookkeepers and CPAs with monthly clients. For them, the start date is already in a system somewhere. The work is turning it into a reminder. The full client plan: client holiday gifts 2026.
Which Client Milestones Are Worth a Gift?
Our suggestions, by milestone:
Scroll sideways to see the whole table →
| Milestone | When to send | What the card names | A gift that fits |
| First anniversary | The week of the start date | The first project, the first win | A gift they'll use, with a card |
| Renewal signed | After the signature, never before | That they chose you again | A thank-you for the whole team |
| Five years | The anniversary month | Something from year one, and now | A gift for each person on the account |
| Ten years | The anniversary month | How the work has grown | A personal gift for the owner, and one for the team |
| A work milestone | After the launch, filing or go-live | The thing you shipped together | Something to share at their office |
| A home anniversary (realtors) | The closing date, a year on | The house and the year in it | See realtor client gifts |
Some agents space several touches through the first year. In a February 2026 r/realtors thread, a virtual assistant coordinating gifts for an agent wrote that the agent wants to send clients something "at approximately 30 days, 120 days, 9 months, and 12 months," on top of a closing gift: "Budget is $175 per client for all 4 gifts" (r/realtors).
Who at the Client Gets the Anniversary Gift?
The person who signed, and the people who made the year work: your day-to-day contact, the person who approves your invoices, the assistant who keeps the meetings on track. Explaining why some businesses have food gifts from outside divided up and shared, the Emily Post Institute says "the usual recipients of such gifts tend to be those employees who have the advantage of dealing face-to-face with customers, whereas the people who work behind the scenes often go unrewarded" (Emily Post Institute). Including them is arithmetic: 4 people at $35 each, delivered, is $140.
Keep any logo small. Emily Post's standard for logo gifts: "well made, in tasteful colors and with the logo understated enough not to look like an advertisement."
Renewals: Send the Gift After the Signature
A renewal is the one anniversary with a decision attached, and the timing changes how a gift reads. Ogletree Deakins, writing on client gift policies: "Even with a long-standing client, if you are attempting to renew a contract or negotiate an increase in business, the timing of a gift may be perceived as an inappropriate attempt to influence the business decision in your favor." It adds that "Corporate procurement officials… are especially subject to restrictions on the receipt of gifts."
So the order of events is: the renewal is signed, then the thank-you goes out. The card can say exactly that: thank you for choosing us again.
Some employers cap what their people may accept. The limits by industry, quoted from their sources: client gift limits by industry.
How to Turn a CRM Date Into a Thank-You
Whatever system holds your clients, the setup is the same five steps:
- Keep one date per client. The start date (the first invoice or the signed contract), plus the renewal date if you have one. In a CRM, a date field on the company record; in a spreadsheet, a column.
- Compute the next anniversary. In Google Sheets, EDATE(start_date, 12) gives the date 12 months later; 60 gives five years.
- Set the reminder about two weeks ahead (our suggestion). That leaves time to write the card and for the box to ship.
- Review once a month. Filter the clients whose anniversary falls next month. That list is your order.
- Send from the same list. Put those clients' names and addresses in the columns of the client address spreadsheet template and order once for the month.
A firm that signs about 40 clients over a year has, on average, three or four anniversaries a month. At $35 each, delivered, that's about $105 to $140 a month, by our arithmetic.
Card Lines for Each Milestone
Each is under 300 characters, with {first name} filled in from your list. Change the bracketed words to your own before you order (the order page won't take a message with a bracket left in).
{first name}, one year ago this month you trusted us with [the work]. Thank you for a great first year. Here's to the second.
Hi {first name}, thank you for renewing with us. We don't take a second yes for granted, and this year we plan to earn it again.
{first name}, five years. We still remember the first call. Thank you for every year since, and for every person you've sent our way.
{first name}, ten years of working together is rare, and we know it. Thank you for trusting us for a decade.
Hi {first name}, [the launch] is live, and it was a pleasure building it with your team. A small thank-you for the long hours.
The same message and sign-off go on every card in an order. Clients at the same milestone can share one order, each card greeting its person by first name; a different milestone is a separate order, and one box is a complete order. More wording: thank-you messages for clients.
What Sending Anniversary Gifts Yourself Takes
Yes: you can keep supplies on hand and pack anniversary gifts yourself, and by our estimate 25 logo mug gift boxes take about 9 hours of hands-on work, plus a week or more waiting for supplies to arrive:
- Sourcing, about 2 hours: a mug printer and a proof, then about 8 more orders (gift boxes, tissue, seal stickers, cards and envelopes, foam, cartons, crinkle, cocoa, truffles).
- The list and the cards, about 2¼ hours: addresses cleaned up, labels bought, cards written or printed.
- Packing and shipping, about 4½ hours: about 8 minutes a box, then the drop-off and the tracking numbers.
Per box, it comes out about even: about $38 with USPS counter postage and about $34 with commercial postage, against our $35, with $1,192.84 paid up front for the mugs, the retail supply packs and 25 postage labels, as of Oct 29, 2026 (DIY vs ordering, itemized). Spread across a year of anniversaries, the supplies sit on a shelf between sends, and a stale address sends a box away and back.
Ordering from us, by contrast: upload a logo (or type your website), paste the list, check the preview, pay. We print, pack and ship each box to its own address.
What to Know Before You Order
- Gift limits. Each box is $35, delivered. Some employers and industries cap the gifts their people may accept; the limits, quoted from their sources: client gift limits by industry.
- One message per order. Every card in an order carries the same message and sign-off, with each person's first name filled in from your list.
- The seal says "Happy Holidays". The tissue in every box closes with a gold "Happy Holidays" seal; your card carries the anniversary.
- Chocolate and heat. The box holds chocolate truffles. Lake Champlain Chocolates takes "extra care" with "shipments during the summer months and year-round to warm weather destinations" because "exposure to heat and humidity can cause the chocolate to bloom or melt" (Lake Champlain). LINDOR truffles contain milk, soy and barley malt (gluten); read the labels.
- Where we ship. The lower 48 states and Washington, DC, except Texas for now; we ship from New York. The order page flags any row we can't ship to, so you can fix it or take it out.
