Thank You for the Referral: 40 Note Templates by Relationship, and When a Gift Goes With Them

Updated

In short

To thank someone for a referral, name the person they sent, say what their trust meant, and ask for nothing more. Send it when the introduction happens, before you know whether it becomes business. Below are 40 original notes, sorted by who referred you, each under 300 characters so it fits a printed gift card.

On this page15 sections

We sell a $35 logo mug gift box, printed, packed and shipped to each person's address. This guide covers the other options too.

Key facts

  • Thank-you writers misjudge the effect. In four experiments, people who wrote letters of gratitude "underestimated how positive recipients would feel" and "overestimated how awkward recipients would feel" (Kumar and Epley, 2018).
  • A referral is worth the card. In a study of about 10,000 bank customers, "The average value of a referred customer is at least 16% higher than that of a nonreferred customer" with similar demographics and time of acquisition (Schmitt, Skiera and Van den Bulte, 2011).
  • Leave the pitch out. Recipients in business.com's 2022 poll of 1,547 professionals (a publisher-run survey) said prominently branded items "felt more like ads than tokens of appreciation"; its advice: "Send a gift, not an ad" (business.com).
  • All 40 templates here are original and under 300 characters, spaces included, with no sign-off inside.

How Do You Thank Someone for a Referral?

Three parts, in this order: who they sent, what it meant, a short wish. The person should finish reading and think about the trust they showed, not about what you want next.

Part Weak Specific
Who they sent "Thanks for the referral." "Thank you for sending Priya our way."
What it meant "We appreciate your business." "You put your name behind ours, and that means a lot."
A short wish "Keep them coming!" "We hope your spring is a calm one."

The weak last line is a request dressed as thanks. Recipients notice the same thing in gifts: business.com's poll found branded items "felt more like ads than tokens of appreciation." Some professions have written rules on referral gifts; referral thank-you gifts by profession quotes them, trade by trade.

When to send it

The best moment is the introduction itself. "Reward the behavior you want to encourage aka thank them for referring regardless of what happens," one commenter wrote when a realtor asked when to send a referral thank-you (r/realtors).

Moment When to send (our suggestion) The one detail to mention
The introduction The same week The person they sent
It became a client When the work starts That it worked out, if the new client is happy for you to say so
It didn't work out Soon after That the thought mattered more than the outcome
They refer again and again Once a year How many people they've sent

How to use the templates

[Name] is the referrer's first name; on a Personalized Gifts Delivered order it fills in from the First Name column of your address list, so a template with only [Name] works for a whole list. Replace anything else in [brackets], such as [referral's name], before you order: whatever you type prints on every card in that order, so a template that names the referral suits a one-box order. Each section starts with templates that need no fields. Messages for other moments: the card message library.

Is a Gift Appropriate With a Referral Thank-You?

A note does the thanking; a gift gives the thanks something to keep. Whether one goes with the note depends first on your trade. In real estate, mortgage, title, insurance, law, dentistry and home inspection, written texts speak to referral gifts. Each is quoted with its source in referral thank-you gifts by profession and client gift limits by industry; for lenders, loan officer closing gifts. Read yours before a gift goes with the note.

This is information, not legal or tax advice. Check the current rule (or ask your broker, counsel or compliance officer) before you send.

The gift doesn't need to be big. Givers expect pricier gifts to be appreciated more, but recipients' appreciation isn't linked to price (Flynn and Adams, 2009).

What to Know Before You Order

  • The card is printed, not handwritten. The words carry the personal part, and every card greets its person by first name.
  • One message per order. A template that names the referral, or the project, suits a one-box order; one box is a complete order.
  • Gift limits. Each box is $35, delivered. Some employers and industries cap the gifts their people may accept; the limits, quoted from their sources: client gift limits by industry.
  • The seal says "Happy Holidays". The black tissue inside closes with a gold "Happy Holidays" seal sticker; your card carries the thank-you.
  • The treats. LINDOR truffles contain milk, soy and barley malt (gluten); read the labels.
  • Where we ship. From New York to the lower 48 states and Washington, DC, except Texas for now. P.O. boxes are fine; no Alaska, Hawaii, Puerto Rico, other US territories, APO/FPO or international.

What Happens to Your Note With Personalized Gifts Delivered

Each Personalized Gifts Delivered order carries one message and one sign-off. We print them on a textured card, seal it in an envelope with a gold wax-seal sticker, and lay it on the lid of a finished gift box, so the thank-you is read before the box opens. The message can be up to 300 characters, and the order page tells you if a message is too long to print. You see the card, and the mug, before you pay.

First Name on the list The message you write What their card says
Dana Thank you for recommending us, {first name}. Every new client who mentions your name makes our week. Thank you for recommending us, Dana. Every new client who mentions your name makes our week.
Marcus (the same message) Thank you for recommending us, Marcus. Every new client who mentions your name makes our week.

Under the card is a logo mug gift box with Ghirardelli cocoa, Lindt truffles and a personal card: an 11 oz white ceramic mug with your logo printed small, a 1.5 oz packet of Ghirardelli premium hot cocoa and 4 Lindt LINDOR milk chocolate truffles packed inside it, in a matte-black gift box with a magnetic lid, $35 delivered. Something useful lasts: in ASI's 2026 study (a promotional-products industry survey), 87% of end-users said they would keep branded drinkware because it is useful (ASI). It ships to the referrer's own address in a plain white carton; the return address shows PersonalizedGiftsDelivered.com, and your name appears only on the card inside.

Add your logo (or type your website and we'll find it), or a photo or a few words for a personal gift; check the preview of your mug and card; add your address list; and pay $35 per box. We print, pack and ship each box to its own address. Ships within 2 business days of a complete order (your design, your address list and payment). Ships by USPS Ground Advantage or UPS Ground, with tracking, and usually arrives 2–5 business days after it ships. Delivery dates are carrier estimates, not guarantees, and run slower in mid-December.

Can You Send Referral Thank-You Gifts Yourself?

Yes: you can write the card, buy the gift and mail it yourself, and for one gift the printed mug and counter postage alone cost $28.46, before the cocoa, the chocolate, a gift box, tissue or a card (the itemized DIY cost, as of Oct 29, 2026). For a year's referrers sent at once, by our estimate 25 logo mug gift boxes take about 9 hours of hands-on work (about 3½ of them packing, at about 8 minutes a box), plus a week or more waiting for supplies from about 8 separate orders. Per box, it comes out about even: about $38 with USPS counter postage and about $34 with commercial postage, with $1,192.84 paid up front for the mugs, the retail supply packs and 25 postage labels.

A typo on printed cards means printing them again, and a mug packed without a foam collar can break at the handle. With Personalized Gifts Delivered, the note is the only part you write: we print, pack and ship each box to its own address. Found your words? Start your order and paste them onto the card in the preview.

Frequently asked questions

How do I thank a client for a referral?
Thank a client for a referral by naming the person they sent, saying what their trust meant, and asking for nothing more, in two or three sentences. Send it when the introduction happens, before you know whether it turns into business.
What do you write in a thank-you-for-the-referral card?
Write who they sent, what it meant and a short wish, for example: "Thank you for sending [referral's name] our way, [Name]. Of all the ways a client can say they're happy with our work, a referral is the one we value most." Leave out any request for more referrals.
Should I send a gift with a referral thank-you note?
A gift gives the thank-you something to keep, and written texts on referral gifts exist in real estate, mortgage, title, insurance, law, dentistry and home inspection; read your trade's first. Recipients' appreciation isn't linked to a gift's price (Flynn and Adams, 2009).
What do I say when a referral doesn't become a client?
When a referral doesn't become a client, thank them for the thought and leave the outcome out: "Not every introduction turns into work, and that's fine. What stays with us is that you thought of us." The trust was the favor, whatever came of it.
Can I ask for more referrals in a thank-you note?
Leave the ask out of a referral thank-you: it turns thanks into a pitch. business.com's advice to gift senders, in the write-up of its 2022 poll of 1,547 professionals (a publisher-run survey), was "Send a gift, not an ad."
Who will print a referral thank-you card and ship it with a gift?
Personalized Gifts Delivered prints your thank-you on a textured card that lies on the lid of a $35 logo mug gift box and ships it to the referrer's own address, with no minimum: one box is a complete order. The card greets them by first name, and you see it before you pay.
