We sell a $35 logo mug gift box, printed, packed and shipped to each person's address. This guide covers the other options too.
Key facts
- Pub. 15-B's example: its de minimis examples include "Holiday or birthday gifts, other than cash, with a low fair market value (FMV)"; the example names no dollar figure (Pub. 15-B, read Oct 29, 2026).
- Frequency counts: "An essential element of a de minimis benefit is that it is occasional or unusual in frequency" (IRS).
- Clients, $25: "You can deduct no more than $25 for business gifts you give directly or indirectly to each person during your tax year" (Pub. 463).
- Ask first: "Not everyone wants their birthday celebrated" (r/humanresources, May 2026).
- Consistency is the point: "the fact that someone makes it a point to never miss doing something for these events is something I think about when I consider my working environment and culture" (r/humanresources, Jan 2025).

Should a Business Send Employee Birthday Gifts?
Yes, for the people who want one. One reply in a May 2026 r/humanresources thread on celebrations (thread) was a warning: "Not everyone wants their birthday celebrated." The fix, from another commenter in the same thread: "I send out a survey each year asking each employee if they would like a company wide birthday acknowledgement. For the people who say yes, I put a reminder on my calendar and then ask again before posting anything."
For the people who say yes, what matters is that it never gets missed. In a January 2025 thread, a commenter wrote that their workplace "gives us little gifts on anniversaries, birthdays, and fun holidays like Valentine's Day. Is a heart balloon and a gift card with some candy going to keep me here? No, of course not. But the fact that someone makes it a point to never miss doing something for these events is something I think about when I consider my working environment and culture." Their verdict on the hard part: "The hardest part is actually getting managers to do the thing" (r/humanresources).
What companies in these threads describe sending (the first three rows are from the May 2026 thread):
| What they send |
In their words |
| A boxed gift and a note, remote team |
"We also send a gift to each employee on their birthday and anniversary. The gift is like one of those pre-boxed gifts by gender. They're around $50 on Amazon. With a kind note." |
| A gift card by email |
"employees get a $100 gift card of choice which we arrange thru Amazon to be delivered to their work email on their birthdate" |
| A printed card and a small gift |
"We … just print one give it along with a small wooden phone stand with a matching pen" |
| Gifts chosen from a yearly form |
"Annually, we have everyone fill out a 'favorites form' - favorite treat, hobbies, favorite foods … Then we get them personalized gifts for their milestones." (r/humanresources) |
| Cake and flowers |
"the most we've done for employees is gifting them a cake and flowers on their birthdays" (same thread's original post) |
A gift card is the simplest to send, and the IRS text on it is in the tax section below.
How to Run It: One Order a Month
- Ask once a year. Send an opt-in: would you like a birthday gift, and where should it go? Ask for the month and day, never the year. Our guide to collecting employees' home addresses has a form you can adapt.
- Keep one list. Use our address spreadsheet template's columns, and add a Birthday column in your own copy for sorting (our suggestion).
- Pick one day a month. Around the 15th, filter the list for next month's birthdays (our suggestion).
- Write one message for the month. "Happy birthday, {first name}!" and a line that fits everyone; every card in the order greets its person by first name.
- Paste the rows, check the preview, pay. Every person's card shows on the order page before you pay.
- File the shipping email. It brings a spreadsheet of recipient, ship date, carrier, tracking number and $35 per box: twelve of them make a year's record.
Because one order covers the whole month, the timing is the birthday month, not the day, so the card can say "happy birthday month" (our suggestion). For January birthdays, order in early December; for June to September, see the heat note below. The timing: Ships within 2 business days of a complete order (your design, your address list and payment). Ships by USPS Ground Advantage or UPS Ground, with tracking, and usually arrives 2–5 business days after it ships. Delivery dates are carrier estimates, not guarantees, and run slower in mid-December.
What it costs is arithmetic: one gift per person per year. At $35 per box, delivered, a team of 12 is $420 a year; 25 people, $875; 40 clients, $1,400. No month has a minimum: a month with one birthday is an order of one.
Client Birthday Gifts
A client birthday gift works where the relationship is personal and the date is already in your files: real estate, financial advice, insurance, a salon's best customers. The hard part is the same as with staff: remembering. A marketing director for a small real estate brokerage described their team's system on r/smallbusiness: "Currently, we just create events on a shared Outlook calendar. You would THINK this would be the best way to do this, but in practice it's sort of a mess" (thread).
One list, sorted by birthday month, replaces the calendar. IRS Publication 463 says:
"You can deduct no more than $25 for business gifts you give directly or indirectly to each person during your tax year." …
"Incidental costs, such as engraving on jewelry, or packaging, insuring, and mailing, are generally not included in determining the cost of a gift for purposes of the $25 limit." "A cost is incidental only if it doesn't add substantial value to the gift. For example, the cost of gift wrapping is an incidental cost. However, the purchase of an ornamental basket for packaging fruit isn't an incidental cost if the value of the basket is substantial compared to the value of the fruit."
IRS Publication 463 (2025), ch. 3, "Gifts". Read Oct 29, 2026.

Are Employee Birthday Gifts Taxable? What Pub. 15-B Says
"You can exclude the value of a de minimis benefit you provide to an employee from the employee's wages. A de minimis benefit is any property or service you provide to an employee that has so little value (taking into account how frequently you provide similar benefits to your employees) that accounting for it would be unreasonable or administratively impracticable. Cash and cash equivalent fringe benefits (for example, gift certificates, gift cards, and the use of a charge card or credit card), no matter how little, are never excludable as a de minimis benefit." …
"Examples of de minimis benefits include the following." … "Holiday or birthday gifts, other than cash, with a low fair market value (FMV)." …
"If a benefit provided to an employee doesn't qualify as de minimis (for example, the frequency exceeds a limit described earlier), then generally the entire benefit must be included in income."
IRS Publication 15-B (2026), "De Minimis (Minimal) Benefits". Read Oct 29, 2026.
The IRS's de minimis page adds: "In determining whether a benefit is de minimis, you should always consider its frequency and its value. An essential element of a de minimis benefit is that it is occasional or unusual in frequency. It also must not be a form of disguised compensation" … "The IRS has ruled previously in a particular case that items with a value exceeding $100 could not be considered de minimis, even under unusual circumstances." (IRS, page last reviewed or updated Jun 28, 2026; read Oct 29, 2026). Pub. 15-B's holiday-or-birthday example names no dollar figure. More: employee gifts and taxes.

Birthday Card Messages for the Month
One message goes on every card in a month's order, so it has to fit everyone on that month's list. Each is under 300 characters, with no sign-off inside; "{first name}" fills in from the list.

What Sending It Yourself Takes
Yes: you can buy, pack and mail birthday gifts yourself every month. By our estimate, 25 logo mug gift boxes take about 9 hours of hands-on work, plus a week or more waiting for supplies, and per box the cost comes out about even with our $35: about $38 with USPS counter postage and about $34 with commercial postage, with $1,192.84 paid up front for the mugs, the retail supply packs and 25 postage labels (our DIY cost comparison, as of Oct 29, 2026). A birthday program splits those 25 boxes into twelve small batches: a few boxes to pack, label and drop off every month, with the supplies stored in between. Miss a month, and someone's birthday goes by.
Ordering from us, by contrast: upload a logo (or type your website), paste the month's rows, check the preview, pay. We print, pack and ship each box to its own address.
What to Know Before You Order
- The seal says "Happy Holidays". On every box today, the black tissue inside closes with a gold "Happy Holidays" seal sticker. The card, read first on the lid, carries the birthday.
- One message per order. Every card in a month's order carries the same message and sign-off, each greeting its person by first name; a different message for one person goes in its own order.
- One design per order. Every mug in an order carries the same logo, photo or words, such as "Happy Birthday".
- Summer birthdays. The box holds chocolate. Lake Champlain Chocolates, which ships chocolate nationwide, says that "exposure to heat and humidity can cause the chocolate to bloom or melt" in summer and in warm places (Lake Champlain Chocolates).
- The treats. LINDOR truffles contain milk, soy and barley malt (gluten); read the labels.
- Gift limits. Each box is $35, delivered. Some employers and industries cap the gifts their people may accept; the limits, quoted from their sources: client gift limits by industry.
- Where we ship. From New York to the lower 48 states and Washington, DC, except Texas for now: no Alaska, Hawaii, Puerto Rico, other US territories, APO/FPO or international addresses. The order page flags those rows, so you can fix them or take them out before you pay.
- Up to 100 boxes per order. For a bigger month, email us at hello@personalizedgiftsdelivered.com.
