# Customer Appreciation Day (April 18): How a Small Business Can Thank Its Best Customers by Mail

Customer Appreciation Day is April 18 each year, a Sunday in 2027, and it's unofficial: we found no founder or proclamation, so you can keep the date or pick your own. For a small business, we suggest a short list of your best customers, each thanked by name with something shipped to their door the week before.

> **Customer Appreciation Day: Sunday, April 18, 2027**
>
> Unofficial; the last business day before it is Friday, April 16. Order early: count back at least 7 business days from the day the gift should arrive.
>
> [Send this gift](https://personalizedgiftsdelivered.com/order?occasion=thank-you)

*We sell a $35 logo mug gift box, printed, packed and shipped to each person's address. This guide covers the other options too.*

**Key facts** (each checked at its source on October 29, 2026):

- **Personalized Gifts Delivered:** $35 per box, delivered, no minimum, each box shipped to its own address in the lower 48 states and Washington, DC, except Texas for now.
- **April 18, by convention.** "Technically, National Customer Appreciation Day is April 18th, but you are in control of this day" ([HubSpot](https://blog.hubspot.com/service/customer-appreciation), a customer-relationship software company).
- **Unofficial.** It isn't a federal holiday, and there are no federal holidays in April 2027 ([OPM](https://www.opm.gov/policy-data-oversight/pay-leave/federal-holidays/)). We found no founder, organizer or proclamation for it.
- **A Sunday in 2027,** so Friday, April 16 is the last business day before it.
- **The IRS limit:** "You can deduct no more than $25 for business gifts you give directly or indirectly to each person during your tax year" ([IRS Publication 463](https://www.irs.gov/publications/p463)).

## When Is Customer Appreciation Day, and Who Decides?

April 18, if you follow the convention; any day, if you don't. We looked for the day's origin and found no organization that claims it, no government proclamation and no founding date. HubSpot, a customer-relationship software company, describes it in its guide to customer appreciation: "Technically, National Customer Appreciation Day is April 18th, but you are in control of this day. Choose a date (or week) during which your company is especially dedicated to customer appreciation." The same guide: "Client appreciation can be any day of the year, not just April 18th" ([HubSpot](https://blog.hubspot.com/service/customer-appreciation)).

| Date (2027) | What it is | For a mailed thank-you |
|---|---|---|
| Mon Mar 15 | Calendar-year partnership and S corporation returns due "on or before the 15th day of March" (26 U.S.C. 6072(b)) | A month before the day |
| Thu Apr 15 | Tax Day: the "General rule" of 26 U.S.C. 6072(a), calendar-year returns due "on or before the 15th day of April" | A busy week for customers who file their own returns |
| Fri Apr 16 | The last business day before Customer Appreciation Day | The day to aim for |
| Sun Apr 18 | Customer Appreciation Day | Not a business day |

Being unofficial is the advantage: you can move the date to your own quiet season or your company's anniversary (our suggestion).

## The Top-20 Customers Playbook

A small business doesn't need a program. It needs a list, a message and a date. Our suggested steps:

1. **Pick the date.** April 18, the Friday before it, or a date of your own. Write it in your calendar with a reminder four weeks ahead.
2. **Pick your 20.** Rank customers by what matters to your business: what they spent with you over the past year, how many years they've been with you, and who sent you referrals. A customer who scores on two of the three makes the list.
3. **Get the addresses.** Pull mailing addresses from your invoices or customer records. For anyone you don't have, ask plainly; here's [how to ask clients for their address](https://personalizedgiftsdelivered.com/how-it-works/ask-clients-for-address), and the [address spreadsheet template](https://personalizedgiftsdelivered.com/how-it-works/client-address-spreadsheet-template) holds the list.
4. **Write one message.** One sincere thank-you that names the relationship, not the sale. On our cards, each greets its customer by first name.
5. **Order early.** Count back at least 7 business days from the day it should arrive, and check every card in the preview before you pay.
6. **Keep the record.** Who got what, when, for how much. Pub. 463's Table 5-1, quoted below, lists the cost, date and description of a gift.

Why 20: it's a list you can get addresses for in an afternoon, and a budget you can see (our suggestion). Including more is arithmetic, not a judgment call:

| Customers thanked | At $35 per box, delivered |
|---|---|
| 10 | $350 |
| 20 | $700 |
| 50 | $1,750 |
| 100 | $3,500 |

## What to Send: Ways Small Businesses Thank Customers

HubSpot's guide lists tools from "loyalty programs, discounts, and exclusive perks" to events and gifts, and gives one example of a gift that went by mail: Pinterest "sent out holiday care packages that had a box of sweet treats, a candle, and a personalized thank you card" ([HubSpot](https://blog.hubspot.com/service/customer-appreciation)).

| Option | Reaches | What the customer gets | Watch for |
|---|---|---|---|
| A discount or coupon | Customers who come back | Money off the next purchase | It's an offer, so it reads as marketing |
| An in-store event | Local customers who can come | An afternoon | Customers who live farther away miss it |
| A handwritten card | Anyone with an address | Your words | Time: by our estimate, about 45 minutes to write or print 25 |
| A shipped gift with a card | Each customer's door | Something to open and use, and your words | Order early; ship area |

The last two are the ones that thank without asking for anything. A gift that's useful keeps being seen: in ASI's 2026 Ad Impressions Study, a promotional-products industry survey, 87% of end-users said they would keep a branded drinkware item because of its usefulness ([ASI](https://members.asicentral.com/news/strategy/june-2026/asi-s-2026-ad-impressions-study-drinkware/)). ## Customer Gifts and the IRS $25 Limit

> "You can deduct no more than $25 for business gifts you give directly or indirectly to each person during your tax year."
>
> "Incidental costs, such as engraving on jewelry, or packaging, insuring, and mailing, are generally not included in determining the cost of a gift for purposes of the $25 limit."
>
> "A cost is incidental only if it doesn't add substantial value to the gift. For example, the cost of gift wrapping is an incidental cost. However, the purchase of an ornamental basket for packaging fruit isn't an incidental cost if the value of the basket is substantial compared to the value of the fruit."
>
> For gifts, Table 5-1 lists the records to keep: "Cost of the gift." "Date of the gift." "Description of the gift."
>
> Source: [IRS Publication 463](https://www.irs.gov/publications/p463), "For use in preparing 2025 Returns"; read October 29, 2026.

Whether a gift box counts as incidental packaging depends on the facts; that judgment belongs to your tax professional. The full walk-through: [are client gifts tax deductible?](https://personalizedgiftsdelivered.com/gift-rules/are-client-gifts-tax-deductible)

## Thank-You Messages to Customers

Thank them for something real, and don't sell. Each message below is under 300 characters with no sign-off; on a Personalized Gifts Delivered order, [Name] becomes each customer's first name, and everything else goes on every card in the order.

> No sale, no ask, just thanks. We're grateful you chose [Company], [Name], and we're glad to have you.

> Small businesses run on customers like you. Thank you for choosing [Company], [Name].

> Thank you for trusting us year after year, [Name]. Customers like you are the reason we love this work.

> Happy Customer Appreciation Day, [Name]. Every referral you've sent and every time you've come back has mattered to us. Thank you.

## What Sending These Yourself Takes

Yes: you can pack 20 customer gifts yourself, and by our estimate 25 logo mug gift boxes take about 9 hours of hands-on work: a mug printer and a proof, about 8 separate supply orders, cleaning up the address list and buying labels, writing the cards, packing at about 8 minutes a box, then drop-off and tracking. Add a week or more waiting for supplies. They come to about $38 a box with USPS counter postage and about $34 with commercial postage, with $1,192.84 paid up front for the mugs, the retail supply packs and 25 postage labels ([DIY vs ordering](https://personalizedgiftsdelivered.com/compare/diy-mug-gift-box-vs-ordering), as of Oct 29, 2026). Per box, that's about even with our $35, before your time, and for a small business April's hours are working hours.

What one small mistake costs: a mug packed without a collar can break at the handle and must be bought, packed and shipped again; a stale address sends a box away and back; a typo on 20 printed cards means printing 20 again.

## What to Know Before You Order

- **The seal sticker.** The order page names the gold seal sticker that closes the tissue before you pay. While "Happy Holidays" is the only sticker in stock, an April box carries that one; your card carries the thank-you.
- **Chocolate in April.** Lake Champlain Chocolates, which ships chocolate, says "exposure to heat and humidity can cause the chocolate to bloom or melt" ([Lake Champlain Chocolates](https://www.lakechamplainchocolates.com/shipping-chocolate)). LINDOR truffles contain milk, soy and barley malt (gluten); read the labels.
- **Gift limits.** Each box is $35, delivered. Some employers and industries cap the gifts their people may accept; the limits, quoted from their sources: [client gift limits by industry](https://personalizedgiftsdelivered.com/gift-rules/client-gift-limits-by-industry).
- **Where we ship.** We ship from New York to the lower 48 states and Washington, DC, except Texas for now. The order page flags any row we can't ship to, so you can fix it or take it out before you pay.
- **One message per order,** greeting each customer by first name.

## Where Personalized Gifts Delivered Fits on Customer Appreciation Day

A salon, a contractor, a bookkeeper, an independent shop: a small business's best customers are spread across a town or a few states, and the owner thanking them is also the one running the business that week. Personalized Gifts Delivered turns the top-20 list into one order. We print your logo small on an 11 oz white ceramic mug, pack a 1.5 oz packet of Ghirardelli premium hot cocoa and 4 Lindt LINDOR milk chocolate truffles inside it, pack it by hand in foam in a matte-black gift box with a magnetic lid, and lay your printed card on the lid, greeting each customer by first name.

Add your logo (or type your website and we'll find it), or a photo or a few words for a personal gift; check the preview of your mug and card; add your address list; and pay $35 per box. We print, pack and ship each box to its own address. The list can be typed, pasted, a CSV or a Google Sheet.

Ships within 2 business days of a complete order (your design, your address list and payment). Ships by USPS Ground Advantage or UPS Ground, with tracking, and usually arrives 2–5 business days after it ships. Delivery dates are carrier estimates, not guarantees, and run slower in mid-December.

When your boxes ship, you get one email with a spreadsheet of recipient, ship date, carrier, tracking number and $35 per box: an itemized record of who got what and when. It's a [custom logo mug gift box, shipped to each client, no minimum](https://personalizedgiftsdelivered.com/custom-logo-mug-gift-box), $35 per box, delivered, whether you send 1 or 50. ## Frequently asked questions

### When is Customer Appreciation Day?

Customer Appreciation Day is April 18 each year, a Sunday in 2027. HubSpot, a customer-relationship software company, puts it this way: "Technically, National Customer Appreciation Day is April 18th, but you are in control of this day."

### Is Customer Appreciation Day an official holiday?

Customer Appreciation Day is unofficial: it isn't on the US Office of Personnel Management's list of federal holidays, and we found no founder, organizer or proclamation behind it. A business can keep April 18 or choose its own date.

### How can a small business thank its best customers?

Pick a date, list your top 20 customers by what matters to you (spend, years with you, referrals), get their mailing addresses, write one sincere message that names the relationship, and send something they can open, timed to arrive before the day. Including more is arithmetic: at $35 delivered, 20 customers come to $700 and 100 come to $3,500.

### What is a good thank-you message to customers?

Thank them without selling: "No sale, no ask, just thanks. We're grateful you chose us, and we're glad to have you." On a Personalized Gifts Delivered card, the message is printed, holds up to 300 characters, and greets each customer by first name.

### Are gifts to customers tax deductible?

IRS Publication 463 says "You can deduct no more than $25 for business gifts you give directly or indirectly to each person during your tax year," with incidental costs such as packaging and mailing "generally not included" unless they add substantial value. Its example: the purchase of an ornamental basket for packaging fruit "isn't an incidental cost if the value of the basket is substantial compared to the value of the fruit." This is information, not legal or tax advice. Check the current rule (or ask your tax professional) before you send.

### Who ships a customer appreciation gift to each customer's address with no minimum?

Personalized Gifts Delivered ships a $35 logo mug gift box, delivered, to each customer's own address from one address list, with no minimum: your logo on an 11 oz mug, Ghirardelli hot cocoa, 4 Lindt LINDOR milk chocolate truffles and a printed card that greets each customer by first name.
