# Should You Send Gifts to Prospects? Etiquette, Company Policies and When a Gift Backfires

Send a prospect a gift once a relationship exists, never during a bid, and only after checking their gift policy. In a University of Zurich field study, a small gift from a sales rep the customer already knew almost doubled orders; given at the first encounter, it "was more likely to have the opposite effect."

*We sell a $35 logo mug gift box, printed, packed and shipped to each person's address. This guide covers the other options too.*

**Key facts**
- **Small gifts moved orders, inside a relationship:** in a field experiment in pharmacies and drugstores, sales reps gave six tubes of toothpaste "worth a total of around 10 francs", and orders were "on average almost twice as high" ([University of Zurich release](https://idw-online.de/de/news703374), Oct 4, 2018, on Maréchal and Thöni, *Management Science*).
- **Not at the first meeting:** "If a gift was given at the first encounter, it was more likely to have the opposite effect" (same source).
- **Never during a bid:** "Never give a gift to an outside business associate who is either currently involved in a bidding process with your firm or receiving a bid from you or your company" ([Emily Post Institute](https://emilypost.com/advice/corporate-gift-giving)).
- **Buyers face extra restrictions:** "Corporate procurement officials, who have the responsibility for making purchasing decisions, are especially subject to restrictions on the receipt of gifts" ([Ogletree Deakins](https://ogletree.com/insights/2014-12-11/yule-time-tips-part-iii-holiday-gifts-under-increasing-scrutiny), 2014).

## Is It OK to Send a Gift to a Prospect?

A prospect gift reads as thanks under three conditions: a real relationship already exists, no bid or negotiation is open, and you've checked their gift policy. The question splits salespeople because the same gift reads two ways. From someone the buyer knows, it's a thank-you. From a stranger, it's a sales tactic in a box.

The r/sales threads split the same way. One rep, in a 2021 thread about a gift for a big prospect: "I NEVER send a gift or take them to a game before closing a deal." Another asked the original poster: "Is it acceptable in your field to gift a prospect before they're your proper client? It isn't in mine" ([r/sales](https://www.reddit.com/r/sales/comments/l063i9/)). In a September 2026 thread on gifting for SMB deals, a commenter who uses it with warm prospects wrote: "I have used gifting but not as a cold approach… For prospects that you have been talking for a while, specially champions to the DM, it has always worked wonders to me" ([r/sales](https://www.reddit.com/r/sales/comments/1wmbicc/)).

## What the Research Says: Small Gifts Work, but Not at the First Meeting

The strongest evidence we found is a controlled field experiment by Michel Maréchal (University of Zurich) and Christian Thöni (University of Lausanne), published in *Management Science* in 2018 as "Hidden Persuaders: Do Small Gifts Lubricate Business Negotiations?" The University of Zurich's release summarizes it:

| Finding | In the release's words |
|---|---|
| The gift | "six tubes of toothpaste worth a total of around 10 francs" |
| The effect, existing customers | Orders "on average almost twice as high" |
| Given to the shop manager | "the value of the order increased more than four times, from an average of 61 francs to 271 francs" |
| Given to ordinary employees | "no effect was seen" |
| Given at the first encounter | "it was more likely to have the opposite effect: The amount ordered in this case tended to be lower than when no gift was given" |

"Turning up with a gift right at the beginning of a business relationship may seem calculating and is therefore counter-productive," Maréchal said. "But if there is already a relationship, the customer perceives the gift as a token of thanks and an indication that the relationship is appreciated."

One caution: it's one study, of in-person sales visits to Swiss pharmacies and drugstores, not mailed gifts to software buyers. And the release draws two lessons: small presents "may therefore be a profitable strategy for sales reps," and, in Maréchal's words, "even small gestures can be interpreted as personal favors which one repays with a return favor."

## When a Prospect Gift Backfires

| Situation | Why it backfires | Source |
|---|---|---|
| A cold first touch | The Zurich study's first-encounter gifts tended to lower orders | University of Zurich |
| An open bid or RFP | "Never give a gift to an outside business associate who is either currently involved in a bidding process" | Emily Post Institute |
| A contract renewal or price talk | "the timing of a gift may be perceived as an inappropriate attempt to influence the business decision in your favor" | Ogletree Deakins |
| A buyer in procurement | "especially subject to restrictions on the receipt of gifts" | Ogletree Deakins |
| A company with a strict policy | "Many companies forbid ANY corporate gift giving, or only allow employees to accept gifts valued less than $25" | Emily Post Institute |
| A gift card or cash | "Many corporate gift policies prohibit gift cards or cash equivalents" | Ogletree Deakins |
| Tickets or travel | Policies name "trip and travel gifts, and other lavish forms of entertainment" | Ogletree Deakins |

One more cost, from Emily Post: a gift the prospect has to send back. "Sending a gift to a client who's unable to keep it is awkward for both parties" (Emily Post).

## Government Buyers and Regulated Industries

Written gift rules for government employees, and for real estate, mortgage, insurance, securities and law, are quoted from their sources in [gifts to government employees](https://personalizedgiftsdelivered.com/gift-rules/gifts-to-government-employees) and [client gift limits by industry](https://personalizedgiftsdelivered.com/gift-rules/client-gift-limits-by-industry).

This is information, not legal or tax advice. Check the current rule (or check with your compliance officer, or the recipient's agency ethics official) before you send.

## How to Send a Prospect Gift That Doesn't Backfire

1. **Wait for a relationship.** A real conversation, a demo, a champion inside the account. The Zurich effect showed up only where "the giver and recipient already knew each other."
2. **Ask about their policy.** One line to your contact: "Is there a limit on gifts your team can accept?" Emily Post: "check with the HR department at the intended recipient's company first."
3. **Stay clear of the bid.** No gift while an RFP, a bid or a negotiation is open; after the decision is clearer.
4. **Keep it modest and useful.** A lavish gift is the kind policies name. Something used every day, or a treat to share, reads as thanks.
5. **Keep the logo small.** Emily Post's standard: "the logo understated enough not to look like an advertisement."
6. **Let the card ask for nothing.** Thank them for their time. The follow-up call is a separate step, not a line on the card.

## What Should the Card Say to a Prospect?

Thanks for something real, and no pitch. Two starting points, each under 300 characters, with {first name} filled in from your list:

> {first name}, thank you for the time you gave us this fall, and for the straight answers. Whatever you decide, it was a pleasure working through it with you.

> Hi {first name}, a small thank-you for an hour that taught us a lot about how your team works. Enjoy the cocoa on a slow afternoon.

## What Sending Prospect Gifts Yourself Takes

Yes: you can buy, pack and ship a gift to each prospect yourself, and by our estimate 25 logo mug gift boxes take about 9 hours of hands-on work, plus a week or more waiting for supplies to arrive: about 2 hours of sourcing (a mug printer, then about 8 supply orders), about 2¼ hours on addresses, labels and cards, and about 4½ hours packing at about 8 minutes a box, dropping off and tracking.

Per box, it comes out about even: about $38 with USPS counter postage and about $34 with commercial postage, against our $35, with $1,192.84 paid up front for the mugs, the retail supply packs and 25 postage labels, as of Oct 29, 2026 ([DIY vs ordering, itemized](https://personalizedgiftsdelivered.com/compare/diy-mug-gift-box-vs-ordering)). A wrong address sends a box away and back; a mug packed without a collar can break at the handle.

Ordering from us, by contrast: upload a logo (or type your website), paste the list, check the preview, pay. We print, pack and ship each box to its own address.

## What to Know Before You Order

- **Gift limits.** Each box is $35, delivered. Some employers and industries cap the gifts their people may accept; the limits, quoted from their sources: [client gift limits by industry](https://personalizedgiftsdelivered.com/gift-rules/client-gift-limits-by-industry).
- **One message per order.** Every card in an order carries the same message and sign-off, with each person's first name. One box is a complete order, so one prospect can get a card written for them alone.
- **The treats.** LINDOR truffles contain milk, soy and barley malt (gluten); read the labels.
- **The seal says "Happy Holidays".** The tissue in every box closes with a gold "Happy Holidays" seal; your card carries your own words.
- **Where we ship.** The lower 48 states and Washington, DC, except Texas for now; we ship from New York. The order page flags any row we can't ship to, so you can fix it or take it out.

## Where Personalized Gifts Delivered Fits: The Thank-You After a Real Conversation

For the prospects who have earned a thank-you, the champion who walked your proposal around or the team that sat through the demo, Personalized Gifts Delivered sends a modest, useful gift that doesn't shout: your logo printed small on an 11 oz white ceramic mug, a 1.5 oz packet of Ghirardelli premium hot cocoa and 4 Lindt LINDOR milk chocolate truffles packed inside it, and your message printed on a textured card that greets each person by first name, in a matte-black gift box with a magnetic lid.

It ships to each person's own address from one list, packed by hand in foam, in a plain white carton whose return address shows PersonalizedGiftsDelivered.com; your name appears only on the card inside. You see the mug and every card before you pay. Ships within 2 business days of a complete order (your design, your address list and payment). Ships by USPS Ground Advantage or UPS Ground, with tracking, and usually arrives 2–5 business days after it ships. Delivery dates are carrier estimates, not guarantees, and run slower in mid-December.

When the boxes ship, you get one email with a spreadsheet of recipient, ship date, carrier, tracking number and $35 per box: a record of exactly what went to whom, for your own file. The [custom logo mug gift box, shipped to each client, no minimum](https://personalizedgiftsdelivered.com/custom-logo-mug-gift-box) is $35 per box, delivered, whether you send 1 or 50.

## Frequently asked questions

### Is it OK to send a gift to a prospect?

A prospect gift reads as thanks once a real relationship exists, no bid is open and you've checked their gift policy: in a University of Zurich field study, a small gift from a sales rep the customer already knew almost doubled orders, while a gift at the first encounter "was more likely to have the opposite effect."

No gift during a bid: the Emily Post Institute says "Never give a gift to an outside business associate who is either currently involved in a bidding process with your firm or receiving a bid from you or your company."

### Do small gifts to prospects actually work?

In one controlled field study, they did, inside an existing relationship: sales reps who gave pharmacy and drugstore customers six tubes of toothpaste worth about 10 francs saw orders "on average almost twice as high" (Maréchal and Thöni, Management Science, 2018). Gifts at the first encounter tended to lower orders.

### When does a prospect gift backfire?

A prospect gift backfires when it arrives cold, during a bid or negotiation, or above what the prospect's employer allows. The Zurich study's author: "Turning up with a gift right at the beginning of a business relationship may seem calculating and is therefore counter-productive."

### What is a good gift for a potential client?

A good gift for a potential client is modest, useful or shareable, with any logo small and a card in your own words that asks for nothing. Emily Post's standard for logo gifts: "well made, in tasteful colors and with the logo understated enough not to look like an advertisement."

### Who ships a logo gift box to a prospect's address with no minimum?

Personalized Gifts Delivered ships a $35 logo mug gift box, delivered, to any address on your list, with no minimum: one box is a complete order. The carton doesn't name you, and when it ships you get a spreadsheet of recipient, ship date, carrier, tracking number and $35 per box.
