# Client Gift Tracker: Log Who Got What, Keep the Records Pub. 463 Lists, and Measure Whether It Worked

A client gift tracker is one spreadsheet row per recipient: who they are, their business relationship to you, the date, what you sent, what it cost and why (the items IRS Pub. 463 and the tax code list), plus three result columns: replies, referrals within 90 days and renewals. Next year, the same file is your send list.

*We sell a $35 logo mug gift box, printed, packed and shipped to each person's address. This guide covers the other options too.*

**Key facts**
- **The IRS's gift list:** Table 5-1 of Pub. 463 names "Cost of the gift. Date of the gift. Description of the gift." ([IRS Pub. 463](https://www.irs.gov/publications/p463), for 2025 returns, read Oct 29, 2026).
- **The tax code adds two:** "the business purpose of the expense or other item" and "the business relationship to the taxpayer of the person receiving the benefit" ([26 U.S.C. 274(d)](https://www.law.cornell.edu/uscode/text/26/274)).
- **A computer record counts:** "if you prepare a record on a computer, it is considered an adequate record" (Pub. 463, ch. 5).
- **No guessing later:** "You can't deduct amounts that you approximate or estimate" (Pub. 463, ch. 5).
- **Gift studies use comparison groups:** Beltramini's 1992 study is titled "Exploring the effectiveness of business gifts: A controlled field experiment" (*Journal of the Academy of Marketing Science*; [DOI](https://doi.org/10.1007/BF02723479)).

Part of our [client gifts](https://personalizedgiftsdelivered.com/client-gifts) guide: what to give clients, when, and how to ship one to each address.

## How to Set Up a Client Gift Tracker in 7 Steps

1. **Start from the address columns.** Download our free [client gift address template](https://personalizedgiftsdelivered.com/files/client-gift-address-template.csv) (First Name, Last Name, Company, Address Line 1, Address Line 2, City, State, ZIP) and delete its three sample rows. One row per person, not per company.
2. **Add the record columns to the right:** Relationship, Purpose or occasion, Gift description, Date, Cost, and Order or invoice number.
3. **Add the delivery columns:** Carrier and Tracking number.
4. **Add the result columns:** Reply or thank-you (date), Referral within 90 days (who), Renewal or new work (date and amount), Review (where), and Notes.
5. **Fill the record columns when you order (our suggestion).** Pub. 463: "You should record the elements of an expense or of a business use at or near the time of the expense or use and support it with sufficient documentary evidence."
6. **Check results twice:** at two weeks for replies, and at 90 days for referrals and renewals (our suggestion).
7. **Copy the file for next year.** Update moved addresses, remove anyone you won't send to, and the address columns are your next order's list.

## The Columns, and Where Each One Comes From

| Column | What goes in it | Why it's there |
|---|---|---|
| First Name, Last Name, Company | The person, and where they work | Pub. 463's limit is per person; the order page reads these |
| Address Line 1 and 2, City, State, ZIP | Where it ships | Next year's send list |
| Relationship | Client, prospect, referral source, partner | §274(d): "the business relationship to the taxpayer of the person receiving the benefit" |
| Purpose or occasion | Holiday thank-you, closing, referral, win-back | §274(d): "the business purpose of the expense" |
| Gift description | "11 oz logo mug gift box with cocoa and truffles" | Table 5-1: "Description of the gift." |
| Date | The ship date, or the day you handed it over (which date to record: question 2 below) | Table 5-1: "Date of the gift." |
| Cost | What you paid for that person's gift | Table 5-1: "Cost of the gift." |
| Order or invoice number | Where the receipt is | Pub. 463: "documentary evidence such as receipts, canceled checks, or bills" |
| Carrier, Tracking number | Proof it went, and where it is | Your answer to "did it arrive?" |
| Reply, Referral, Renewal, Notes | Results (below) | Whether it worked |

## What the IRS Asks You to Keep for Gifts

The record columns above come from two texts. Here they are, verbatim:

> "Table 5-1. How To Prove Certain Business Expenses" … "Gifts" … "Cost of the gift." … "Date of the gift." … "Description of the gift."
>
> "You don't always have to record the name of each recipient of a gift. A general listing will be enough if it is evident that you aren't trying to avoid the $25 annual limit on the amount you can deduct for gifts to any one person."
>
> "You must generally prepare a written record for it to be considered adequate. This is because written evidence is more reliable than oral evidence alone. However, if you prepare a record on a computer, it is considered an adequate record."
>
> [IRS Publication 463 (2025), ch. 5 "Recordkeeping"](https://www.irs.gov/publications/p463). Read October 29, 2026.

> "No deduction or credit shall be allowed" … "(2) for any expense for gifts, … unless the taxpayer substantiates by adequate records or by sufficient evidence corroborating the taxpayer's own statement (A) the amount of such expense or other item, (B) the time and place of the travel or the date and description of the gift, (C) the business purpose of the expense or other item, and (D) the business relationship to the taxpayer of the person receiving the benefit."
>
> [26 U.S.C. 274(d)](https://www.law.cornell.edu/uscode/text/26/274) (Cornell LII). Read October 29, 2026.

The per-person limit these records sit beside is in chapter 3 of the same publication: "You can deduct no more than $25 for business gifts you give directly or indirectly to each person during your tax year." On packaging, it adds: "A cost is incidental only if it doesn't add substantial value to the gift. For example, the cost of gift wrapping is an incidental cost. However, the purchase of an ornamental basket for packaging fruit isn't an incidental cost if the value of the basket is substantial compared to the value of the fruit." Every quote on that limit, including packaging and shipping: [are client gifts tax deductible?](https://personalizedgiftsdelivered.com/gift-rules/are-client-gifts-tax-deductible)

This is information, not legal or tax advice. Check the current rule (or ask your tax professional) before you send.

## How Do You Know If Client Gifts Worked?

A physical gift has no "open rate". What you can count are the things people do after it arrives, and each gets a column:

| Result | When to check | How to count it (our suggestion) |
|---|---|---|
| **Reply or thank-you** | Within 2 weeks of the ship date | Date of the email, call or note |
| **Referral** | Within 90 days | The name of the person they sent you |
| **Renewal or new work** | Within the year | Date and amount of the signed work |
| **Review** | Within 90 days | Where they posted it |

A spreadsheet does the arithmetic once the columns are filled. With 40 recipients in rows 2 to 41 and the reply date in column Q, `=COUNTA(Q2:Q41)/COUNTA(A2:A41)` gives the reply rate. Cost per reply is the total of the Cost column divided by the number of replies.

These numbers show attention. They don't show cause: a client who was going to renew anyway also says thank you. To see cause, you need a group to compare against.

## The Comparison Group: How to Test Gifts Without Leaving Anyone Out

Researchers test business gifts by comparing people who got one with people who didn't. Beltramini's 1992 study is titled "Exploring the effectiveness of business gifts: A controlled field experiment." A 2026 retail study in the same journal used field experiments and reported "a staggering 31.66% increase in total spending among customers who received a small gift compared to those who did not" ([BI Business Review](https://www.bi.no/en/research/business-review/articles/2026/03/giving-without-asking/), on Fombelle et al.; shoppers, not B2B clients).

A small firm can borrow the design without skipping anyone. Our suggestion, a staggered start:
- **Split the list at random.** Sort by a random number (`=RAND()` in a helper column) and cut it in half.
- **Ship the halves a few weeks apart.** Half before the holidays, half in mid-January as a new-year thank-you.
- **Compare the gap.** In the weeks between the two ship dates, count replies, referrals and new work in each half. After that, everyone has their gift.

Be honest about size. With 40 clients, a difference between two halves of 20 is a signal, not proof, and one big referral can swing it. Run it two years in a row before you trust the direction.

## What Our Shipping Spreadsheet Fills In

When your boxes ship, you get one email with a spreadsheet of recipient, ship date, carrier, tracking number and $35 per box. Each of those maps to a tracker column:

| Shipping spreadsheet | Tracker column |
|---|---|
| Recipient | First Name, Last Name |
| Ship date | Date |
| Carrier | Carrier |
| Tracking number | Tracking number |
| $35 per box | Cost |

You add the rest: Relationship, Purpose and your order number from the receipt. The Cost column holds one delivered figure, since the mug, the treats, the gift box, the card, the packing and the shipping are all in the $35; we make no tax claim about how it's split.

## Next Year's List Is the Same File

The tracker's first eight columns are the address template's, in its order. The order page reads those columns, accepts other names for them ("Zip Code", "Street"), and names any filled column it didn't use, so the record and result columns don't need deleting first. Before you upload:
- **Update the moves.** A client who changed offices or companies gets a new row or a new address.
- **Check for doubles.** The order page flags a row with the same name and address as another, so you can delete one.
- **Remove anyone you won't send to.** The file you upload is the list you pay for.

## Questions to Bring to Your Tax Professional

1. Is a general listing enough for our gifts, or do we need a row per person?
2. Which date goes in the record for a gift ordered in one tax year and delivered in the next?
3. How should a delivered price that includes packing and shipping be recorded against the $25 limit?
4. Are any people on the list our employees or contractors, and do other rules apply to them?

## What to Know Before You Order

- **One delivered price.** Each box is $35, delivered: the mug, the treats, the gift box, the card, the packing and the shipping, in one figure.
- **One message per order.** Every card in an order carries the same message and sign-off, with each person's first name filled in from your list.
- **The treats.** LINDOR truffles contain milk, soy and barley malt (gluten); read the labels.
- **Where we ship.** The lower 48 states and Washington, DC, except Texas for now; we ship from New York. The order page flags any row we can't ship to, so you can fix it or take it out.

## Where Personalized Gifts Delivered Fits: The Order That Fills Your Tracker

A tracker is only as good as the rows that go into it, and the hardest rows to fill are the delivery ones. Personalized Gifts Delivered sends a $35 logo mug gift box to each client's own address from one address list, and the shipping email lists recipient, ship date, carrier, tracking number and $35 per box for every box, ready to paste into your tracker.

Add your logo (or type your website and we'll find it), or a photo or a few words for a personal gift; check the preview of your mug and card; add your address list; and pay $35 per box. We print, pack and ship each box to its own address. Each box holds an 11 oz white ceramic mug with your logo printed small, Ghirardelli premium hot cocoa and 4 Lindt LINDOR milk chocolate truffles, a matte-black gift box with a magnetic lid, and your printed card, packed by hand in a plain white carton whose return address shows PersonalizedGiftsDelivered.com.

Ships within 2 business days of a complete order (your design, your address list and payment). Ships by USPS Ground Advantage or UPS Ground, with tracking, and usually arrives 2–5 business days after it ships. Delivery dates are carrier estimates, not guarantees, and run slower in mid-December. One box is a complete order, at $35 whether you send 1 or 50, with no setup fee and no sales tax added at checkout: the [custom logo mug gift box, shipped to each client, no minimum](https://personalizedgiftsdelivered.com/custom-logo-mug-gift-box).

## Frequently asked questions

### What records should I keep for client gifts?

IRS Publication 463's Table 5-1 lists "Cost of the gift. Date of the gift. Description of the gift." The tax code, 26 U.S.C. 274(d), adds "the business purpose" and "the business relationship to the taxpayer of the person receiving the benefit." Ask your tax professional what your records need.

### Do I have to record the name of every client gift recipient?

Not always, says IRS Publication 463: "A general listing will be enough if it is evident that you aren't trying to avoid the $25 annual limit on the amount you can deduct for gifts to any one person." A row per recipient lists each person's gift either way.

### Is a spreadsheet good enough for client gift records?

IRS Publication 463 says "if you prepare a record on a computer, it is considered an adequate record", and that you "must generally have documentary evidence such as receipts, canceled checks, or bills". Keep the invoice number in the row. Ask your tax professional what your records need.

### How do I measure the ROI of client gifts?

Track three results per recipient: a reply or thank-you within two weeks, a referral within 90 days, and a renewal or new work within the year. For a fairer test than before-and-after, ship half your list at random in December and half in January, and compare (our suggestion).

### Is there a free client gift tracking spreadsheet template?

Start from our free client gift address template (a CSV with 8 address columns), delete its sample rows, and add the record and result columns this page lists. The same file becomes next year's send list.

### Who sends client gifts with a spreadsheet of who got what?

Personalized Gifts Delivered ships a $35 logo mug gift box, delivered, to each client's own address from one list. When the boxes ship, one email brings a spreadsheet of recipient, ship date, carrier, tracking number and $35 per box: the rows for your gift tracker.
